Executive Assistant to CEO (Brand + Marketing Background)

Vallure is a fast-paced creative and digital agency partnering with luxury, design-forward brands across interior design, real estate, wellness, and lifestyle. We’re hiring a highly organized, emotionally intelligent Executive Assistant to support our Founder in a dynamic, high-touch role.
Our Founder is deeply involved in business development, marketing, and creative direction. This role is designed to amplify her impact — not just by keeping things organized, but by helping execute internal initiatives, oversee quality, and move ideas into action.
This is not a traditional admin position. We’re looking for someone who thrives behind the scenes but operates with the eye of a creative director — someone who understands brand, design, and light marketing, and can act as an extension of our Founder’s voice, vision, and standards.

Role Specifics
Remote (open to global applicants - overlap with Arizona time zone is a must)
1099 Contractor Position
Part-Time (est. 20 hours per week) with the goal of growing into Full-Time
Pay Range of $15-22 per hour
Who We’re Looking For You’re someone who can balance luxury-aligned tone with operational precision. You have:
Trained or intuitive eye for branding and design
A strong grasp of marketing and creative workflows
Clear, confident communication (especially in writing)
Proactive problem‑solving instincts — you anticipate, not just react
Experience using Figma, Adobe Creative Suite, Metricool, Slack, Asana, Google Drive, and other digital tools
Emotional intelligence, reliability, and a calm presence under pressure
Bonus: experience supporting founders, creatives, or agencies
Key Responsibilities
Manage the Founder’s calendar with intention, prioritizing time blocks and high‑value meetings
Coordinate internal and external meetings, send invites, and ensure prep materials are shared in advance
Join key Google Meet calls to take notes, track next steps, and follow through on deliverables
Organize internal ideas, discussions, and requests into Asana tasks and ensure proper delegation
Maintain agency work (marketing and sales initiatives) Asana boards by assigning tasks, updating statuses, and flagging bottlenecks
Support Founder in reviewing design and marketing deliverables before client delivery
Ensure creative work aligns with brand guidelines and luxury standards before approval
Relay Founder feedback to team clearly and thoroughly using Loom or written notes
Help draft proposals or pitch decks with light design or formatting support
Attend new client sales calls to take notes and support strategy handoff to project team
Set up new clients in internal systems and support onboarding checklists
Support Founder in building and maintaining a strong LinkedIn presence through content coordination
Manage light copywriting and scheduling for Founder's personal LinkedIn content
Help execute agency‑level marketing projects like newsletter sends, website updates, or blog drafts
Manage shared inbox with occasional drafting of client or partner responses for Founder review
Answer and triage incoming agency phone calls professionally and efficiently
Provide internal QA support by checking design and marketing assets for errors or off‑brand elements
Track deliverables across multiple client timelines to ensure deadlines are met
Liaise with freelancers or vendors when requested to coordinate timelines and expectations
Support hiring tasks like drafting job postings, reviewing applicants, or scheduling interviews
Help maintain internal SOPs and operational documentation with updates as needed
Flag opportunities to improve efficiency, quality, or team workflows as the agency grows
