The Patient Access Specialist (100% time) schedules patient appointments for multiple outpatient clinics and ensures patients are scheduled to the correct department. This includes ensuring the correct visit types, provider, date, length of visit, and time are utilized, scheduling within the appropriate time frame requested for the plan of care, verifying that the right appointment prerequisites are completed and obtained, coordinating necessary preparatory tests, informing patients of visit‑specific preparatory instructions, and confirming patients are financially secured for their visit.
This position is eligible for hybrid work within the state of Iowa; a work arrangement form must be completed upon employment.
The Patient Access Specialist anticipates patients’ needs and serves as a patient advocate.
The scheduler assists and resolves any scheduling issues that arise.
The scheduler uses independent judgment to address patient requests outside the scope of scheduling.
Upholds departmental best practices, quality, and professionalism standards and policies.
Serves as a mentor, coach, role model, and service‑excellence ambassador for staff, co‑workers, patients, and visitors; may complete special projects for the department.
May attend clinic or department meetings as a scheduling content expert; may perform other duties as assigned.
Education Required
A bachelor’s degree or an equivalent combination of education and experience.
Experience Requirements
Typically 6 months to 1 year of administrative experience.
Excellent written and verbal communication skills.
Proficiency in computer spreadsheet and database applications.
Desirable Qualifications
Experience with hospital operations and/or ambulatory clinic operations.
Experience with the Epic system.
Experience scheduling in an outpatient clinic setting.
