Office & Production Manager
We are seeking a highly organized and dependable Office & Production Manager to oversee daily operations at our busy screen‑printing and apparel production shop. This role is essential in coordinating customer communication, managing orders, supporting our production processes, and ensuring the shop runs efficiently from open to close.
The ideal candidate is detail‑oriented, comfortable working in a fast‑paced environment, and able to balance office responsibilities with hands‑on production support. This position requires strong communication skills, excellent organization, and the ability to work collaboratively with customers, vendors, and our production team.
Key Responsibilities
Office Responsibilities
- Greet and assist walk‑in customers with professionalism and accuracy.
- Answer phones, respond to emails, and maintain a high level of customer service.
- Create quotes, enter orders, and manage customer approvals.
- Maintain the front office, sales counter, and customer pickup area.
- Schedule jobs, coordinate deadlines, and communicate timelines with customers.
- Keep paperwork, order forms, and office operations organized and up to date.
- Oversee inventory needs for office supplies and production supplies.
- Lock up the building at the end of the day when closing.
Graphic Design Responsibilities
- Prepare customer artwork for production.
- Create mockups, proofs, and print‑ready files using Adobe Illustrator and other basic design tools.
- Organize artwork files and ensure customer approvals are completed before production.
- Set up files for screen printing, DTF printing, embroidery, and vinyl applications.
- Make customer revisions and ensure artwork accuracy prior to printing.
- Run the DTF printer and ensure customer designs are printed accurately.
- Apply DTF transfers to apparel and fulfill online store orders.
- Assist with vinyl application—including cutting vinyl, weeding, and heat‑press application.
- Sort, fold, and pack completed orders.
- Help maintain production workflow by coordinating with print staff.
- Support online store packing, sorting team orders, and preparing shipments.
Experience & Qualifications
- Prior experience in a print shop, sign shop, embroidery business, or apparel production environment preferred.
- Strong customer service and communication skills.
- Basic graphic design experience (Adobe Illustrator required).
- Ability to set up files for printing, vinyl, and DTF production.
- Highly organized, reliable, and able to manage multiple tasks at once.
- Comfortable working in a fast‑paced production environment.
- Ability to collaborate with production staff and follow established shop procedures.
- Leadership experience or supervisory experience is a plus.
