Founded in 2015 by two Black women, ELSO Inc. provides culturally relevant education and leadership development opportunities for Youth of Color. Our mission is to teach and frame science and nature‑based education through a lens that centers and elevates the stories, ways of knowing, and lived experiences of Black and Brown communities. ELSO seeks to reduce the achievement gap in STEAMED education and professions while creating a sense of belonging for Black, Indigenous, and People of Color in the natural and built environments.
POSITION OVERVIEW
The Program Administrator (PA) supports Studio Justice by ensuring efficient systems and effective program administration. The PA assists with budget management, receipt scanning, expense classification, communication coordination, meeting logistics, purchasing and reporting, and is the primary point of contact for participants, staff, and community partners.
ESSENTIAL DUTIES
Mission Hospitality (5%)
- Be friendly, accessible, and responsive to the public, serving as the organization’s primary contact for general inquiries via phone and email.
- Communicate professionally about programs, responding promptly to parents, families, community partners, funders, and donors.
- Relay program stories and context to Grant Writers as requested.
Program Support and Logistics (50%)
- Implement the registration process and all systems for all programs.
- Assist with logistics for program events, including registration, process payments, and vendor contracts.
- Assist the Studio Justice Program Director and Communications Manager with program logistics, ordering and maintaining resources, and ensuring design kits are sourced and mailed to participants on time.
- Organize and support Studio Justice meetings, coordinating catering, childcare, and anticipating attendees’ needs.
- Collaborate with the Program Director on annual program evaluation and reflections.
- Attend all Studio Justice programs and trainings for support.
- Assist in volunteer, guest instructor, and sponsor partner training; support grant reporting.
General Operations (20%)
- Manage the Studio Justice program calendar, including conferences, RFP deadlines, and partner events.
- Submit monthly expense reports, track receipts, reconcile expenses with the budget, and coordinate with the Program Director.
- Conduct program debrief interviews.
- Manage program expense budgets, maintain tracking categories, order invoices, and ensure timely receipt submission.
- Handle inventory, purchasing, and replacement of program supplies.
Administrative Duties (20%)
- Track, scan, and categorize program expenses.
- Perform accounting duties for monthly expense reports and budget adherence.
- Organize program folders on the shared drive and maintain office systems and procedures.
- Manage ongoing maintenance of shared tools, equipment, and technology.
- Coordinate calendars and schedule work groups for long‑term initiatives.
- Transcribe minutes of meetings.
- Organize trainings and background checks for interns.
- Maintain supply organization, replenishment, and cleanliness.
- Manage travel logistics in collaboration with the Executive and Operations Assistant.
- Act as backup for miscellaneous tasks such as depositing checks and managing vendor passwords.
REQUIRED QUALIFICATIONS
- 21+ years old, high school graduate or GED with administrative experience (current college student with experience acceptable).
- Detail oriented with strong organizational skills.
- Pass background check as required by the Oregon Department of Education for youth‑directed positions and maintain a clean driving record for one year prior to application.
- Experience with Google Workspace and Microsoft Excel.
PREFERRED QUALIFICATIONS
- Passion for guiding Black and Brown youth through student‑driven learning.
- Administrative, accounting or finance background.
- Proactivity and self‑direction.
- Bachelor’s degree.
- Budget tracking and expense reporting experience.
- Time management and ability to meet deadlines.
- Interpersonal, verbal and written communication skills.
- Experience in architecture, engineering, construction, or design.
