Hours Part‑time, project‑based. Maximum 25 hours per week. No more than 2 events per week. Availability required weekdays and for the day of the event.

Summary As Junior Account Coordinator you will work alongside Account Managers to plan corporate events ranging from field days to trivia to entirely custom teambuilding experiences. While the Account Manager will be the client’s primary point of contact, you will be responsible for notetaking, updating client planning deliverables, administrative duties and, notably, day‑of‑event success. This is a project‑based role meaning that your hours are tied directly to the client event you are working on. There are no set hours week‑to‑week. To complete this job successfully, Junior Account Coordinators should not have more than 2 events per week. We ask that Junior Account Coordinators have weekday availability to assist with client calls. To be assigned to a client event, Junior Account Coordinators must be 100% available the day of the event. Strong candidates will be detail‑oriented and have significant experience working with Google Sheets, Slides and Docs. This is an entry‑level role for individuals excited about being exposed to the world of event planning and production!
Responsibilities Planning & Account Admin
Join all client calls, listening in and supporting as needed and directed by Account Manager
Create and keep the note‑taking document and client Event Deck for each event up‑to‑date and relevant
Update Master Operations Document, calendar invites, Staff Shift Document, and others as requested by the Account Manager throughout the planning process
Inventory & Other Materials (design, printing, fulfillment)
Support in designing custom materials for clients, which may include using Canva for graphic design, or coordinating with outside vendors or the Volo marketing team to develop materials like tents, banners and others depending on the scope of the work
Populate venue and site layouts as needed
Print and pick up any materials that need to be brought to event, including but not limited to MC script, staff event packets, and custom signage
Create all staff event materials including but not limited to MC talking points, check‑in sheet and waiver signatures tracker
Oversee all inventory is accurately ordered and accounted for at the event
Staff Support
Manage WhatsApp group chat with staff (once created by Staff Coordinator)
Lead staff huddle pre‑event to prep everyone on any pertinent event details as well as train any folks on the job who may be need it
Oversee inventory at event including unpacking, where it belongs on the field and packing up
Lead huddle post‑event to gather any feedback from staff
Liaise with the Account Manager as necessary on‑site to ensure smooth execution of event and translate any client needs with staff
Day‑of‑Event Responsibilities
Manage staff on day‑of event (see “Staff Support” section)
Oversee event setup, managing all inventory and ensuring materials are accounted for
Act as “Master Scorekeeper” at Field Days
Liaise with onsite events team including vendors, venue and staff on any run of show updates, client requests, etc.
