NAIOP SoCal, the leading association representing the commercial real estate industry in Southern California, is seeking an exceptionally organized, detail-oriented
Marketing & Events Coordinator.
Reporting to the Director of Operations and cooperating with all staff, the position will help in executing the chapter’s events and managing day-to-day marketing tasks. This role is designed for a strong executor—someone who excels at taking direction, translating creative and strategic guidance into action, and ensuring all tasks are completed accurately and on time.
The position works collaboratively across association functions and frequently interacts with member volunteers, other staff, and consultants. Primary Responsibilities EVENT SUPPORT & OPERATIONS (Approx. 50%) Event Logistics & Coordination
Support the planning and execution of a variety of events, including educational programs, networking events, receptions, committee meetings, and special initiatives.
Assist with researching venues, catering, A/V, décor, rentals, and other vendors, and help compile comparison summaries for review.
Track event deadlines, deposits, due dates, and deliverables in shared project management tools.
Maintain organized event files, including budgets, contracts, floor plans and marketing materials.
Assist with reviewing event logistics such as food and beverage needs, A/V requirements, room setups, and post-event surveys, offering recommendations as needed.
Coordinate updates to event web pages and ensure the NAIOP SoCal calendar reflects all confirmed events.
Provide onsite event support, including registration and basic setup.
Coordinate the development of event signage, printed materials and collateral.
Build and schedule email marketing campaigns, newsletters, reminders, and event announcements using our marketing platform.
Draft email copy based on provided messaging and edit for clarity and brand consistency.
Proofread thoroughly and ensure links, dates, times, and registration details are accurate.
Maintain the chapter’s email marketing calendar.
Onsite Event Support
Provide day‑of event support, including check‑in, name badges, signage placement, vendor coordination and basic setup tasks.
Assist with simple onsite troubleshooting to help keep the event running smoothly.
MARKETING & COMMUNICATIONS EXECUTION (Approx. 50%) Content Creation & Design
Create graphics, short‑form videos, and visual content using
Canva
and
CapCut
(or a similar video editing program).
Assist in developing marketing materials for upcoming programs, events and sponsorship/membership needs.
Email Marketing
Build and schedule email marketing campaigns, newsletters, reminders, and event announcements using our marketing platform.
Draft email copy based on provided messaging and edit for clarity and brand consistency.
Proofread thoroughly and ensure links, dates, times, and registration details are accurate.
Maintain the chapter’s email marketing calendar.
Social Media Management
Support day‑to‑day social media activity across Instagram, LinkedIn, YouTube, and Twitter.
Help create content calendars and brainstorm new ideas to engage members and increase awareness.
Monitor basic engagement and reply to inbox messages when needed.
Prepare website and social media performance reporting and analytics summary.
Remain aware of social media trends that could inspire fresh content ideas.
Ideate new ways to generate awareness of NAIOP SoCal and create direct touch‑points with members, prospects and sponsors.
Website & Digital Updates
Help update event listings, news posts, and all website content.
Ensure all information remains current and aligned with NAIOP SoCal’s brand.
Assist in coordinate production of monthly podcasts.
ADMINISTRATION, ORGANIZATION & COMMUNICATION Task & Time Management
Manage daily, weekly, and monthly task lists independently.
Anticipate deadlines and plan workload to ensure nothing is missed.
Provide weekly updates on completed tasks, pending items, and obstacles.
Detail Orientation & Accuracy
Double‑check all work before submitting (spelling, dates, formatting, numbering, branding).
Ensure all event and marketing materials match the direction provided.
Maintain organized digital files and naming conventions.
Take creative direction and translate it into polished materials.
Ask clarifying questions when needed; avoid assumptions.
Communicate professionally with members, vendors, and partners.
Maintain confidentiality and professionalism in all interactions.
Required Skills & Qualifications
Minimum of 2 years of experience in events, marketing, communications, or association/nonprofit work.
Strong proficiency in
Canva
(required).
Experience with
CapCut
or similar video editing apps (required).
Excellent writing, grammar, and copyediting skills.
Strong attention to detail and organizational skills.
Ability to juggle multiple deadlines and projects simultaneously.
Ability to work independently once tasks and direction are assigned.
Strong follow‑through, accountability, and reliability.
Tech‑savvy, with the ability to quickly learn new tools (marketing platforms, CRM, project management software).
Team player with a positive attitude.
Preferred Qualifications
Experience supporting events or member and customer‑focused programs.
Familiarity with social media analytics, scheduling tools, or email marketing systems.
