Group/Sales/Catering Coordinator

The Group/Sales/Catering Coordinator is responsible for clerical and administrative duties, assisting with marketing materials and basic creative tasks that support the Group/Sales/Catering departments. The role includes building and managing room blocks, maintaining arrival details, and creating internal planning documentation to ensure seamless event and group execution. He/she helps support the department's revenue and guest satisfaction goals while providing attentive, courteous, and efficient service to all guests. Responsibilities include answering telephone and email messages, preparing and processing purchase orders, managing mail, staying abreast of computer programs, filing correspondence, typing correspondence, maintaining office supplies, operating the office smoothly, distributing meeting minutes, maintaining trace files, assisting with scanning/copying/faxing/mailing, greeting guests/clients/employees, attending meetings/training, assisting the sales team with proposals, contracts, promotional materials, and presentations, serving as the point of contact for clients, communicating group room block details, developing best practices for prospecting new banquet business, monitoring blocked space and sleeping room blocks, assisting the sales team in managing calendars, important document organization, and weekly tasks, communicating guest arrival details, assisting with marketing administrative tasks, coordination of hotel led events and photoshoots, designing on-property signage, print materials, and digital ads, producing content for digital channels, coordinating the marketing project calendar, organizing photoshoots, planning and maintaining the monthly social media calendar, creating and publishing content across platforms, tracking performance metrics, supporting the development and execution of on-property guest activations and seasonal events, building relationships with local partners, maintaining marketing assets, and assisting with budgeting, invoices, and vendor communications.
