Executive Assistant, Business Affairs, Television Studios
This position provides high-level administrative and operational support to the EVP of Business Affairs for Paramount Television Studios. This role ensures the smooth functioning of the EVP's office by managing schedules, coordinating communications between internal departments and external key collaborators, and assisting with legal and business documentation in a professional manner at all times.
Responsibilities include managing the EVP's complex calendar, prioritizing meetings, and coordinating communications across varying internal departments and external partners. Screen and respond to calls/emails; draft, review, and manage correspondences, including memos and meeting agendas and notes. Schedule internal and external meetings, including with talent, agents, and legal teams. Support EVP in strategic priorities and monitor and prioritize incoming requests, ensuring timely responses and follow-ups. Anticipate executive needs and proactively resolve scheduling conflicts or operational bottlenecks. Broadly assist the BA team, by updating internal deal trackers, and supporting the workflow of information to the team on a timely basis, and preparing and reviewing deal memos, and other deal documents, as needed for the EVP and the BA team at large. Maintain organized filing systems (digital and physical) for contracts and sensitive materials. Prepare and track expense reports and reconcile budgets. Coordinate IT setup, catering, and logistics for meetings and any team events. Assist with department initiatives and cross-functional projects.
Basic qualifications include 3+ years of administrative experience supporting senior executives; entertainment industry experience strongly preferred. Proficiency in Microsoft Office Suite; familiarity with DocuSign and contract management tools. Proven ability to manage databases and electronic filing systems.
Additional qualifications include a bachelor's degree or equivalent experience preferred. Fantastic organizational and time-management skills. Strong written and verbal communication; ability to draft professional correspondence. High level of discretion and confidentiality. Ability to multitask and prioritize in a fast-paced environment.
