Job Summary This role provides high‑level functional support to the Vice President of Communications for Electronic Systems (BAE Systems). The successful candidate will manage the VP’s schedule, travel, correspondence, and coordinate internal and external communications.

Key Responsibilities
Manage the Vice President’s calendar and schedule appointments, meetings and events.
Coordinate travel, itineraries and expense reports for the VP and direct reports.
Arrange office and hotel bookings for NH sites.
Schedule and coordinate team meetings, including agenda preparation, material distribution, note‑taking and action‑item tracking.
Plan and execute Communications‑planned events (leadership meetings, conferences, etc.) – oversee travel, catering, technology setup.
Prepare and edit correspondence, reports, presentations and other documents.
Maintain accurate and up‑to‑date records and files.
Manage employee recognition programs (sports tickets, birthdays, milestones, awards).
Handle functional subscriptions and technology purchases (professional associations, media tracking).
Oversee computer purchases and hardware allocations.
Track external industry award opportunities and coordinate submissions with the VP.
Support new vendor setup and payment processing through procurement systems.
Serve as primary point of contact for internal stakeholders, external partners, and vendors.
Respond to phone calls, emails and messages promptly and professionally.
Assist with special projects such as event planning, research and data analysis.
Develop and maintain spreadsheets, databases and other tools to support the VP’s work.
Improve team operations by developing efficient systems and processes.
Maintain confidentiality and handle sensitive information with discretion.
Qualifications
High School Diploma or GED (minimum education).
At least 5 years’ experience as a Functional Support Specialist or similar role, preferably supporting a senior‑level executive.
Excellent organizational, time‑management, and communication skills.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Microsoft 365 Teams.
Strong attention to detail and ability to prioritize tasks.
Ability to maintain confidentiality and handle sensitive information.
Strong problem‑solving and analytical skills.
Positive team culture contributor – professionalism, adaptability, collaboration.
Preferred Qualifications
Experience in communications or public relations.
Previous experience supporting executive‑level leadership.
Certification in administrative assistance or related field (e.g., CAP).
Salary Full‑time salary range: $81,156 – $137,964.
