Role Description This is an on‑site, full‑time role in Atlanta, GA, for a Coordinator, Website Content & Meetings. The Coordinator serves as a key resource for both digital content management and meeting operations within the association. This role is responsible for maintaining and enhancing the association’s website to ensure accurate, timely, and engaging content for members and stakeholders. These duties include managing membership data, updating committee and conference materials, and ensuring compliance with branding and digital best practices. In addition, the Coordinator is responsible for activities required for successful committee meetings, from scheduling agenda development calls to preparing meeting materials to post‑meeting follow‑up. The position also provides support for annual conference operations and assists with administrative tasks that contribute to the overall efficiency of the organization. Success in this role requires exceptional organizational skills, attention to detail, and the ability to manage multiple projects in a dynamic, high‑volume small team environment.
Primary Duties and Responsibilities
Regularly review and update the association’s website to ensure accurate, timely, and relevant content for members and stakeholders.
Maintain committee membership records and digital membership listings on a regular basis.
Re‑format meeting presentations to PDF, upload to the site’s media library, and publish for all association meetings.
Update annual conference exhibitor, sponsorship, and awards listings.
Serve as point of contact for member questions related to individual user accounts.
Ensure compliance with branding guidelines and digital best practices.
Track and analyze website traffic and engagement metrics to recommend improvements.
Coordinate association meetings from point of contract to post‑meeting, scheduling and participating in agenda development virtual meetings, establishing due dates for deliverables, preliminary meeting budget, development and distribution of registration and travel information, oversight of hotel block, coordinating speakers’ needs, developing and reviewing detailed hotel event orders, fulfilling terms of hotel contract, preparing meeting materials, badges, and documentation for attendees, preparing executives and working group leadership for meeting facilitation, communicating pre‑ and post‑meeting details to attendees.
Fulfill attendees’ requests for confirmation of professional development hours earned through participation in meetings and conferences.
Support annual conference logistics, including hotel room block management, registration management, mobile app updates, printed program, signage, golf tournament, and trade show coordination.
Maintain company shared data drive in accordance with company retention policies.
Maintain accurate electronic membership and attendance records for committees.
Assist with preparation of materials for all committee meetings.
Perform other related duties as assigned by the Executive Director, Directors, or Administrator.
Qualifications
Education/Training:
Bachelor’s degree from an accredited university is required and three years related experience; in lieu of required degree, a high school diploma and 7 years or more of related experience will be considered.
Meeting or event coordination experience and knowledge of relevant tools and platforms for web content management and design preferred.
Proficient in Office 365: Outlook, Word, Excel, PowerPoint, OneDrive, SharePoint.
Knowledge of WordPress preferred.
Requirements
