A successful, Kentucky‑based Thoroughbred racing stable is seeking a highly organized and detail-oriented Administrative Assistant to support the trainer, manage owner communications, and maintain accurate records across all facets of the operation.
Key Responsibilities:
Serve as a primary point of contact for owners and their representatives
Maintain accurate stable records, reports, and documentation
Manage and track licensing, silks, and other client‑related administrative tasks
Oversee scheduling requests and coordinate the trainer's calendar
Assist with race‑day client accommodations and logistics
Stay up to date with multiple racetrack condition books and entry deadlines across states
Handle email correspondence professionally and promptly
Execute data entry and reporting through TLORE
Complete and submit all required HISA paperwork and compliance reporting
Requirements:
Exceptional communication and organizational skills
Strong writing ability, with experience drafting reports and professional emails
Proficiency with TLORE or comparable stable‑management software
Familiarity with HISA compliance, paperwork, and reporting procedures
Ability to work with clients in a fast‑paced, multi‑state racing environment
Strong attention to detail, ability to prioritize, and comfort juggling multiple tasks
