As we continue to scale our brand presence and pipeline impact, we are seeking a creative, organized, and AI-ready Event Specialist to join our marketing team.
Role Overview:
The Event Specialist will plan, manage, and execute ComplianceQuest’s event strategy across in-person conferences, tradeshows, virtual events, customer workshops, webinars, and partner engagements. This role is responsible for end-to-end event logistics, creative promotions, audience engagement, experiential branding, and event-driven pipeline growth. You will collaborate with marketing, sales, product, and partners to bring our brand to life and ensure that every event delivers measurable impact.
Key Responsibilities
Development and execution of the annual event strategy aligned with branding, pipeline goals, and target industries.
Conduct pre-event research, audience segmentation, and competitive landscape assessments.
Build project plans, timelines, and budgets for each event.
Event Logistics & Execution
Coordinate all event logistics including vendor management, booth set‑up, shipping, AV, signage, catering, staffing, and travel.
Ensure seamless on‑site event operations and troubleshoot issues in real time.
Manage virtual event platforms, run‑of‑show documents, speaker prep, and audience engagement tools.
Promotions, Creative Amplification & Branding
Develop and execute promotional campaigns (email, social, website, partners, paid channels) to drive attendance and engagement.
Create event‑specific content such as landing pages, banners, videos, collateral, and swag – with support from the creative team.
Amplify events pre‑, during‑, and post‑ event through multi‑channel storytelling and real‑time updates.
Ensure brand consistency across all visual and experiential elements.
Pipeline Impact & Performance Measurement
Build and execute post‑event nurture workflows with marketing operations.
Track leads, meetings, ROI, and pipeline influence from each event.
Develop and present post‑event analytics and recommendations for continuous optimization.
Identify opportunities to scale branding, reach, and conversion through improved event processes.
AI‑Enhanced Event Management
Use AI tools for planning, scheduling, outreach, content creation, personalization, reporting, and automation.
Identify and implement new AI technologies that improve event quality and operational efficiency.
Required Qualifications
Bachelor’s degree in marketing, communications, business, or related field (or equivalent experience).
3+ years of experience in event planning, event marketing, or field marketing , ideally in B2B SaaS or technology.
Strong organizational, multitasking, and project management skills.
Hands‑on experience with CRM/marketing tools (Salesforce, Marketo/HubSpot, event management platforms).
Demonstrated experience driving event attendance, brand presence, and pipeline.
Excellent written and verbal communication skills.
Must be comfortable using AI tools in daily workflows (content creation, analytics, planning, etc.).
Ability to travel to events as needed (15–25%).
Must reside in the Tampa Bay Area.
