Description This position is responsible for assisting in the operation of a department. The individual will perform additional responsibilities as assigned.
Responsibilities
Proficient with Google Suite applications including Gmail, Docs, and Sheets.
Communicate effectively in person or via telecommunications with the Board of Directors (BOD), homeowners, and colleagues.
Strong interpersonal, written, and verbal communication skills.
Multitask and work autonomously within established procedures, set priorities, meet deadlines, work under pressure and adjust to change.
Make decisions, organize, and solve problems.
Provide efficient and timely communication to multiple HOA Board of Directors (clients) needs, requests, and action items.
Attend and facilitate Board of Directors meetings, annual meetings, and special meetings as required (usually evenings).
Manage multiple client relationships simultaneously.
Prepare all meeting material packets.
Create budgets for communities in portfolio.
Obtain and negotiate vendor contracts (landscaping, maintenance, etc.).
Review, interpret, and ensure compliance with HOA documentation.
Review, interpret, and answer questions on financial documents.
Assist clients with HOA concerns such as maintenance, accounting, violations, and other community issues.
Document and retain all communications between Community Board Members, vendors, and support teams.
Respond to homeowners’ questions regarding statements, violations, maintenance, and other HOA matters.
Research and obtain information to resolve homeowners’ needs.
Follow up on specific requests made by homeowners.
File paperwork.
Perform other tasks as assigned.
Requirements & Qualifications
Strong communication skills.
Strong ability to multitask.
Attention to detail and ability to retain a large amount of information.
Efficiently move through assigned workloads.
Manage time to maximize ongoing client relationships.
Business‑appropriate conduct.
Clear comprehension of telephone information.
General office equipment usage: telephone, fax, copy machine.
Proper grammar.
Prior HOA experience a plus; general understanding of HOA documents helpful.
Bi‑lingual helpful.
High School Diploma required; 2–5 years related experience or equivalent education/experience.
Preferred designations: CMCA, AMS, or PCAM.
Location Must be located in or near Cleveland, OH.
Physical Activities
Move, lift, and carry supplies weighing less than 20 lbs without assistance.
Create documents and reports using a computer.
Enter and locate information on a computer.
Visually verify and read information.
Sit for extended periods.
Be physically present in the office as needed.
