Overview The Air Line Pilots Association, International (ALPA), the largest airline pilot union in the world and the largest non‑governmental aviation safety organization (representing over 80,000 pilots at 42 U.S. and Canadian airlines) seeks an experienced Production Coordinator & Design Assistant for our Tysons (McLean), Virginia office. This key role supports the Design and Production Team, ensuring the smooth delivery of high‑quality projects. The position combines production coordination, administrative support, and entry‑level design work, contributing to both operational efficiency and creative output.

Core Responsibilities

Manage job requests through the Work Request System (WRS).

Assist with project tracking, workflow organization, invoice and chargeback processing.

Coordinate with vendors, support translation workflows, and distribute printed and promotional materials.

Contribute to design assignments such as layouts, resizing, and simple graphics.

Provide copy editing and proofreading support.

Administer label management, reporting, and archival documentation.

Support overall project organization to keep tasks accurate and on schedule.

Local travel: 0 – 5%.

Qualifications

High school diploma or equivalent; some post‑secondary education preferred.

Three (3) years of related experience required; five (5) or more years preferred.

Ability to work in a fast‑paced, deadline‑driven production environment; experience in a demanding setting preferred.

Strong organizational skills, attention to detail, and ability to manage multiple tasks.

Familiarity with editorial style guides and light copy editing and/or proofreading.

Strong time‑management skills; transition easily between projects.

Solid communication and interpersonal skills, oral and written, for effective interaction with internal staff, external contacts, and pilots.

Software: Microsoft Outlook, Word, Excel, PowerPoint, and SharePoint; Quick Response (QR) Code Creator/Generator preferred; proficiency with Adobe Creative Cloud Suite (Photoshop, InDesign, Illustrator, XD) a plus.

Physical Demands Constantly operate a computer/smartphone/tablet; vision must be acute. Regularly required to maintain a stationary position; move about the office and local metropolitan area; determine what others have said or written; converse with others and exchange accurate information.

Regularly required to sit, stand, bend, reach, and move about the office and travel locally, nationally, and internationally. May also include occasional bending, stooping, squatting, and/or pushing and pulling or moving, e.g., to pack, unpack, and/or move cases.

Occasionally required to move, raise, reach, and/or retrieve binders, books, boxes, and files up to ten (10) pounds (lbs.). While on travel, may move, raise, reach, and/or retrieve luggage weighing as much as 50 lbs. (Assistance may not always be available.)
