Pay Range Base pay: $20.00 /hr – $23.00 /hr. Actual pay may vary based on skills and experience.
Responsibilities Financial / Administrative Operations
Communicate with residents about rent and past‑due balances; prepare reminders, payment arrangements, or legal eviction procedures according to company timelines.
Collect rent, process billing statements, post payments, and deposit receipts in accordance with company procedures and timelines (including Section 8 and other supplemental payments).
Maintain accurate resident files and records in an audit‑compliant order.
Process move‑out paperwork and security deposits; enter information into Yardi.
Order and maintain administrative office supplies.
Communicate promptly with the Regional Manager regarding all phases of property operation, resident issues, and significant changes or problems.
Marketing / Leasing / Move‑In
Develop and implement an effective marketing plan as directed by the Regional Manager.
Accurately record and track the quantity and details of telephone and in‑person prospects.
Show and lease apartments to prospective residents.
Process, approve, or deny rental applications in accordance with the Tenant Selection Plan, Marketing Plan, Compliance Programs, and all applicable laws and regulations.
Conduct new resident orientation, including rules and regulations.
Perform move‑in and move‑out inspections with residents.
Resident Retention
Enforce and adhere to lease terms and community rules in accordance with Fair Housing laws, ensuring consistent treatment of all residents.
Maintain a professional office atmosphere that welcomes all residents and prospective residents; exhibit a positive customer service attitude.
Process monthly lease renewals and prepare all necessary documentation; schedule and conduct interim and annual re‑certifications or lease renewal signings according to policies and procedures.
Physical Operation
Monitor apartment inspections for move‑in and move‑out procedures.
Prepare the property for scheduled audits or regulatory inspections.
Walk and inspect the property to monitor vacant apartments, model apartments, exterior lighting, landscaping, and pavement conditions; report action items to the Regional Manager.
Compliance
Conduct all business in accordance with HUD, DHCR, HFA, USDA, Fair Housing, Americans with Disabilities Act, OSHA, and all other applicable federal, state, and local laws pertaining to multifamily housing.
Maintain an accurate waiting list (AWL) in accordance with program compliance.
Process required correspondence to remain in compliance with the 120, 90, 60, and 30‑day notice requirements for affordable sites.
Schedule and perform applicant/resident interviews.
Obtain third‑party verifications of income, assets, and deductions when applicable.
Complete and submit all certifications using the Tenant Rental Certification System (TRACS) and Management Interactive Network Connection (MINC) for affordable sites.
Submit monthly reports to DHCR, HUD, USDA, or other regulatory agencies as required.
Follow all company rules, regulations, policies, and procedures as outlined in training sessions, manuals, memos, and other communication means.
Mental and Physical Demands
Excellent interpersonal, customer service, organizational, time‑management, conflict‑resolution, and verbal and written communication skills.
Proficiency with Microsoft Office and ability to navigate the Internet.
Ability to manage a flexible schedule, including overtime.
Capacity to walk, lift and move light loads (up to 20 lb.), bend, stoop, and climb stairs on a regular basis.
Core Competencies / Qualifications
High School Diploma; Real Estate Education/Degree preferred.
Extensive knowledge and experience with Microsoft Office.
Command of the English language and ability to edit written work.
Familiarity with standards for business letters, memos, contracts, and related documents.
