Marketing and Proposal Coordinator

Geosyntec has an exciting opportunity for a Marketing and Proposal Coordinator in our Gainesville, Tampa, Orlando, Jacksonville, Tallahassee, Clearwater, St. Augustine, or Titusville, FL office, or another Florida office. A hybrid work schedule is available at the discretion of the Company. The position supports our environmental practitioners by developing compliant, comprehensive, and compelling submittals (proposals and SOQs). Utilizing superb writing and organizational skills, the role participates in the Go/No‑Go process; manages, schedules, edits, and produces submittals and related sales‑support materials; evaluates selection criteria; and develops appropriate response strategies.
Essential Duties And Responsibilities
Coordinate with marketing teams and practitioners on new marketing material or updates to existing material;
Create draft templates for news announcements for internal and external posting and circulate for comment;
Maintain master resumes, project descriptions and imagery with practitioners;
Manage content libraries, including prior proposals, boilerplates and visuals;
Assist with content for online presence, including social media, website and emails;
Track and distribute event planning information, maintain a key meeting calendar;
Maintain corporate memberships in client organizations;
Prepare proposal/SOQ pursuit memos that guide delivery;
Assist with preparation and/or assembly of written and visual information for client presentations;
Maintain scheduling and tracking systems for individual pursuit and proposal elements;
Produce SOQs/proposals, including editing, graphics and formatting for digital and print reproduction;
Confirm needed resources to ensure on‑time delivery of SOQs/proposals;
Gather content from teams and consultants, keep content libraries and winning examples/templates;
Organize and develop task lists from pre‑submittal meeting recordings and notes;
Monitor industry‑related market information and distribute potential leads to proposal and marketing teams;
Review, cull and maintain selected markets and information sources;
Gather research data related to clients, competitors, prospect markets and corporate experience;
Maintain systems to extract, categorize and retrieve client‑related information, including mailing lists;
Lead creation of MS Teams sites for proposal teams, loading folders with key information and adding team members;
Develop proposal and cover letter templates;
Assist with graphics concepts, development, writing/content and proofreading;
Handle edits to marketing content such as press releases and article drafts;
Coordinate development and submittal of project award entries;
Participate in data gathering for strategic plans, reports and meetings;
Participate in RFQ/RFP review and/or strategy sessions to analyze potential clients and recommend go/no‑go decisions;
Assist in special corporate events planning (practice group conferences, receptions, open houses, etc.);
Participate in marketing associations for professional development (SMPS, APMP);
Perform special projects and related work as required;
Travel by personal, company, or rental vehicles to client or project sites as needed.
Education And Licensure
Bachelor’s degree from an accredited college with a major in an applicable discipline and at least 2 years of professional experience (preferred); or any equivalent combination of education, experience, and training that provides the knowledge, skills, and abilities to perform the responsibilities (required).
Demonstrated writing skills with critical and analytical thinking (required).
Formatting, editing and proofreading skills with strong attention to detail (required).
Proficiency with Windows, including MS Office (Word, Excel, PowerPoint), Adobe Acrobat and typing (required).
Familiarity with Illustrator and basic graphic design experience (preferred).
Ability to understand complex oral and written instructions (required).
Ability to multitask, prioritize and manage workflow (required).
Ability to work collaboratively and independently under tight deadlines (required).
Valid U.S. driver’s license and satisfactory driving record for business travel (required).
