Position Summary
Manages one or more properties, ensuring occupancy, collections, physical appearance, resident retention, and compliance. Establishes a pleasant atmosphere, maintains professionalism and rapport with residents, and oversees day‑to‑day operations.
Essential Functions
- Maintain daily operations and support other open positions such as caretaking, housekeeping, grounds keeping, and light maintenance to ensure community appearance and cleanliness.
- Act as liaison between corporate staff, on‑site management, and maintenance personnel.
- Meet with staff to review occupancy goals, renewals, and projections; conduct orientation and training; prepare and conduct performance reviews; hire and terminate employees in accordance with policy and law; maintain employee records.
- Work with residents to establish good communication, implement retention programs, and resolve resident issues fairly and timely.
- Follow Dominium purchasing procedures, adhere to accounting directives, work within budget, and report variations immediately.
- Collect rent and all monies due on the first of the month, enforce thorough collection procedures, and send eviction files to the collection agency promptly.
- Handle move‑in and move‑out processes, including unit inspection checklists and maximizing chargebacks.
- Process applicant files for screening in accordance with property housing programs (e.g., Section 8, vouchers, Section 236, Section 42, bonds, 4D).
- Report accidents and emergencies immediately; correct audit findings; maintain community records; conduct monthly safety meetings.
- Respond to internet leads, review traffic reports, renewal opportunities, and guest card follow‑up; sign lease agreements; partner with corporate marketing as needed.
- Ensure maintenance requests are handled promptly, inspect property regularly, record deficiencies, and follow up on work order response times.
- Ensure office procedures are followed, including accurate data entry for reports; monitor audit issues such as key boxes and staff appearance.
- Supervise outside contractors or vendors, ensuring quality workmanship and adherence to contracts.
- Enforce employee handbook and community manager expectations; be current on relevant laws and regulations; perform other duties as assigned.
Supervisory Responsibilities
Supervise all site personnel, train staff and contract vendors, and establish schedules to manage and maintain the community.
Qualifications
- 2‑year degree (4‑year preferred) in a related field or equivalent education and experience.
- Accredited Residential Manager (ARM), Certified Occupancy Specialist (COS), Resident Apartment Manager (RAM), or similar designation preferred.
- Three years of multifamily property management experience required; tax credit experience preferred.
- Accounting and administrative background preferred.
- Proficient in MS Office Suite; Yardi experience preferred.
- Strong verbal and written communication skills; ability to speak in front of groups.
- Second language knowledge is a plus.
- Exceptional time‑management, organizational, and independent thinking skills.
- Ability to coach, mentor, and manage others.
