University Library Specialist, Acquisitions & Discovery
The Acquisitions & Discovery (A&D) department supports the teaching and research program of the University by providing searchable metadata for the more than 3.5 million volumes and 110,000 print and electronic journal subscriptions purchased by the NC State University Libraries, thus preserving and making accessible the intellectual content of the library’s collections. The Monographs unit is one of three units within the Acquisitions & Discovery department. The main focus of Monographs within the department is to serve as a highly skilled task force to acquire, receive, describe and deliver monographic materials in all formats to facilitate use of, and access to, the library’s collections. The monographs unit creates and maintains bibliographic, financial (purchase order, invoice, PCard receipts), technical, and online data in the library’s integrated library system (ILS), university financial system, electronic resource management system, and related knowledge bases and vendor systems.
Responsibilities
The University Library Specialist applies technical, metadata, and data skills to support the increasingly complex responsibilities of monographic acquisitions and management for the Monographs Unit as well as the Acquisitions & Discovery department and the Libraries as a whole. This position assists with the acquisition, receipt, bibliographic control, and delivery of materials in all formats to facilitate use of, and access to, the library’s collections. This position oversees the workflow of the monographs unit, managing and supervising four full-time staff and participating in the hiring and performance management of staff. The Specialist develops, delivers, and supports training and documentation for unit workflows and procedures.
The University Library Specialist oversees monographic library acquisitions ordering, invoicing, and receiving processes for materials in all formats, and collaborates with librarians to ensure licensing of electronic resources. The Specialist handles complex ordering and receiving tasks and provides support for other Unit staff in these areas. The Specialist supports resource discovery and access by coordinating the cataloging for monographic resources in all formats and languages. The Specialist coordinates electronic resource package work for the Libraries, including title list reconciliation processes, data quality control, cleaning and standardization, and vendor and agent communication. This position facilitates partnerships and communication with internal library departments (Access Services, Collections & Research Engagement, Finance & Business, Preservation) and external University units (Procurement & Business Services).

Required Qualifications
- Experience with acquisitions practices and/or budget management
- Ability to interpret and apply complex rules for description and access
- Computing skills, including familiarity across operating systems and fluency with all office applications
- Attention to detail, time‑management, problem solving, project management, and organizational skills
- Ability to communicate clearly and knowledgeably and provide high service standards in all interactions (in person, by telephone, via e‑mail or online)
- Ability to foster an environment of belonging and well‑being
- Ability to work creatively and independently, as well as part of a team, including the ability to establish and maintain effective work relationships
- Ability to locate, analyze, and interpret data contained in complex online systems
- Demonstrated ability to identify, assess and correct data inconsistencies, inaccuracies, and missing data to ensure data reliability and integrity across systems and applications
- Understanding of the current information resource needs of clients in a college/university setting
Preferred Qualifications
- Bachelor’s degree
- Supervisory experience
- Experience with data management (acquisitions or bibliographic) using an integrated library system (ILS) and/or electronic resource management system (ERMS), content management system, and knowledge base or MARC record service
- Familiarity with financial reporting and relational databases
