Base pay range

$135,000.00/yr - $180,000.00/yr

Job Summary

An Executive Producer at VML LIVE is responsible for managing large-scale projects across various disciplines, including live and virtual event-based experiences. This role ensures the seamless translation of creative ideas into actionable project plans and deliverables, while maintaining budget and schedule parameters. It is an important role to the agency as it ensures the successful execution of projects that meet or exceed client expectations, delivering exceptional creative outcomes.

Key Responsibilities

Individual

  • Project Management – Deliver multiple, concurrent projects error‑free, on time or early, on or under budget, while meeting or exceeding creative objectives and expectations.
  • Cross‑Functional Collaboration – Work closely with internal teams, including account, creative, design, and technical, to define project requirements, develop timelines and budgets, and build internal teams to deliver projects.
  • Production Oversight – Actively manage all day‑to‑day aspects of production, including creating detailed project schedules, managing project scope, facilitating meetings, reviewing deliverables for quality and accuracy, and maintaining project documentation.
  • Vendor Management – Select, negotiate, and manage all outside vendor contracts, ensuring alignment with project scope, budget, and creative vision.
  • Creative Support – Collaborate with creative teams to ensure the overall look, feel, and vision of the project are achieved, while providing tactical ideas to support their vision.
  • Client Communication – Serve as a client‑facing member of the team, driving projects forward and communicating any obstacles or updates along the way.
  • Budget Management – Build and manage overall project budgets, provide regular updates to internal teams and clients, manage vendor payments, and reconcile budgets at project close.

People Management

  • Team Leadership – Manage and mentor junior‑level production staff, fostering their growth and development.
  • Team Coordination – Ensure smooth collaboration across all internal disciplines, including creative, account, technical, and production teams.

Qualifications

  • Experience – 8+ years in event production at an agency or similar environment.
  • Skills – Strong financial understanding of budgeting, estimating, and agency profitability; effective negotiation and problem‑solving skills; exceptional written and verbal communication skills; and the ability to work under pressure in a fast‑paced creative environment.
  • Competencies – Highly organized with attention to detail, strong critical thinking skills, and the ability to maintain composure in stressful situations.
  • Flexibility – Willingness to work after hours and travel overnight as required.

Preferred Qualifications

  • Experience managing large‑scale, complex projects in live and virtual event production.
  • Knowledge of industry‑specific tools and platforms for event production.
  • Proven ability to foster collaboration across cross‑functional teams.
