Job Title
Part‑time Music Therapy Program Director (Program Coordination & Administration – 25 hours/week)
Reports to: Executive Director — Location: St. Louis, MO (in‑person at our office in The Delmar Loop)
Position Summary The Music Therapy Program Director manages the logistics and operations of our music therapy programs in St. Louis and various partner cities. As the central point of coordination, you’ll oversee scheduling, communication, documentation, and reporting—ensuring therapists can focus on providing life‑changing care to survivors.
Key Responsibilities
Program Coordination & Scheduling
Serving as primary staff member who oversees scheduling of music therapy workshop series and projects each year across St. Louis and partner cities.
Maintain and update the master program calendar.
Adjust schedules based on agency needs and therapist availability.
Manage participant registrations, attendance, and reminders.
Partner & Therapist Relations
Serve as a friendly and organized primary liaison between therapists, clients, agencies, and Executive Director.
Establish caring, trusting relationships with all involved.
Communicate program changes, needs, and updates promptly.
Documentation, Data & Reporting
Maintain secure documentation for therapists, agencies, and clients.
Ensure all post‑workshop reports and evaluations are collected and uploaded on time.
Track participation and outcomes for program improvement and grant reporting.
Prepare quarterly and annual program summaries for internal and external stakeholders.
Outreach, Marketing & Storytelling
Conduct outreach to prospective partner agencies.
Create simple, clear promotional flyers in Canva.
Collect testimonials from therapists and agencies for storytelling and fundraising.
Events & Organizational Support
Support the annual St. Louis gala with program‑related coordination.
Contribute as a flexible team member within a small, collaborative nonprofit.

Qualifications Required
Excellent written and oral communication skills.
Strong organizational abilities, time management skills, and comfort managing multiple deadlines.
Proficiency with Microsoft Office, Google Workspace (Gmail, Google Calendar, Google Drive, Google Voice), Canva and Zoom.
Sensitivity and adaptability regarding issues impacting survivors; commitment to both confidentiality and care.
Ability to work independently and collaboratively, both in‑person and virtually.
Self‑starter comfortable with flexible hours and limited supervision.
Comfort navigating evolving details and priorities in a small, growing nonprofit.
Ability to work in‑person at our office in the Loop neighborhood of St. Louis, and able to walk up 2 flights of stairs to 2nd floor of the building.
Preferred
Experience/knowledge in music therapy, mental health, social services, or related fields.
Nonprofit program coordination or administrative experience.
Familiarity with trauma‑informed principles.
Familiarity with project management tools such as Asana, Trello, or Slack.
Hours & Compensation Status: Part‑time, hourly (25 hours/week) in person. Pay: $30–$35/hour, based on experience. Occasional evening/weekend needs for events.
