Sales Administrator
Job Location: US-CA-Irvine
Responsibilities
Communicate all details regarding fulfillment of sales orders, including status inquiries and tracking details to sales team
Obtain all documents needed for sales order processing from sales reps in a timely manner
Setup customer details in Great Plains, including payment term and tax‑exempt setup requests
Allocate equipment to pending orders, according to SOP
Communicate with collections team in regard to customer account balance issues
Communicate with Red8 operations and purchasing team in regards to backordered items on pending sales orders
Act as primary back‑up for Red8 accounting personnel during month‑end closing process
Suggest and help implement improvements to current sales order fulfillment processes and/or controls, including automation and streamlining of existing functions
Prepare and/or update the daily sales report
Participate in year‑end audit
Perform physical tasks within the warehouse environment, including bending, stooping, and lifting weights ranging from 5‑25 pounds, for tasks such as receiving, picking, packing, and shipping of products
Adhere to safety guidelines and protocols to maintain a safe working environment for all warehouse personnel
Support other departments or teams as needed, including assisting in special projects or initiatives
Qualifications / Education
Moderate proficiency with MS Word, MS Excel, MS Power Point, MS Access
Moderate proficiency with Microsoft Great Plains
Experience with Salesforce.com is preferred
Minimum of 2‑3 years of continuous sales or sales operations experience
A background in leasing or other finance industry is a plus
High school diploma or equivalent required. College Degree preferred
Skills
Must have problem solving and decision‑making abilities, ability to prioritize projects and strong sense of urgency
Must be highly motivated individual with high level of initiative and an attitude of willingness
Must be team player willing to assist others at all levels of the organization
Strong verbal and written communication skills; and excellent interpersonal skills with the ability to provide superior customer service and maintain cooperative working relationships
Strong organizational and time management skills with the ability to multi‑task and work autonomously or with a team
Strong attention to detail
Ability to communicate effectively on a one‑on‑one basis or in group setting
