Bid and Proposal Specialist , you will play a crucial role in supporting project‑specific bid/RFP processes and ensuring the timely submission of high‑quality, client‑centric proposals. Reporting to the Sr. Manager of Contract Compliance, you will assist in managing various aspects of the pursuit process, including the review and summarization of key legal and business points, as well as the preparation and approval of bid and RFP responses. You will collaborate with cross‑functional teams such as Sales, Legal, Inventory, Operations, and Finance to develop and execute proposals that meet client needs and align with company objectives.

WHAT YOU'LL DO Strategic Coordination of Proposals

Assist in the coordination of a cross‑functional team to deliver proposals that are not only high‑quality but also strategically aligned with company goals.

Work closely with stakeholders to craft proposals that are innovative, competitive, and responsive to client needs.

Process Management

Execute and oversee daily and weekly responsibilities, such as comprehensive contract reviews, bid evaluations, and monitoring of critical contract milestones.

Maintain a high level of organization and prioritization to meet deadlines in a fast‑paced environment.

Bid/RFP Evaluation and Compliance

Under the guidance of leadership, rigorously evaluate bids and RFPs against the company's standard terms and conditions, as well as legal principles.

Provide strategic input on language alignment with company objectives, propose alternative solutions, and identify potential issues for legal or business unit management consideration.

Actively participate in the redlining and routing of proposed changes to ensure that all documents meet the highest standards of accuracy and compliance.

Proposal Preparation and Submission

Lead the preparation and submission of bid/RFP responses, ensuring they are comprehensive, accurate, and compliant with both company and client standards.

Collaborate with key departments to ensure that each proposal is tailored to meet client needs and highlight our competitive advantages.

Document and Signature Management

Oversee the electronic signature process for documents, ensuring that all submissions are complete, accurate, and processed promptly.

Address any incomplete submissions swiftly to maintain the integrity of the proposal process.

Communication and Issue Resolution

Act as the primary point of contact for contractual and bid inquiries, both internally and externally, ensuring timely responses and effective resolution of issues.

Reporting and Analysis

Prepare detailed reports on weekly bid submissions, outcomes, wins, losses, and instances of no bids.

Contribute to thorough follow‑up and analysis of outstanding bids, providing monthly updates to inform strategic decision‑making.

Document Management

Ensure that all bid/RFP responses and associated records are meticulously maintained and uploaded to the company's Contract Management System for easy access and review.

Continuous Improvement

Identify opportunities for process improvements within the bid and proposal function, contributing to the development of best practices that enhance efficiency and effectiveness.

WHAT YOU BRING

1‑3 years experience in the following areas: Paralegal, Legal Assisting, Project Management, Solicitation Response, or Bid Management

Some College or Equivalent

Proven ability to work in a high‑pressure environment

Strong organizational skills and attention to detail

Strong analytical skills and attention to detail.

Excellent communication skills (listening, written and verbal)

Computer skills (Word, Excel, Access, GQ)

Self‑starter who takes initiative with minimal supervision
