The Coordinator will also lead teams on site to ensure the successful install and dismantle of critical infrastructure such as lighting, power, rigging, and audio systems.

The ideal candidate will serve as the link between internal departments, third‑party vendors, and clients—ensuring that technical and operational plans are delivered on time, within budget, and to the highest standard. This position is well‑suited for a candidate with a strong foundation in live event production, who is confident in their ability to ensure excellence in project scheduling, site planning, and field operations.

Key Responsibilities

Production Scheduling & Documentation: Create and maintain a master production calendar for pre‑production, install, show run, and dismantle phases. Build detailed installation schedules, coordinating internal teams and external vendors. Prepare and distribute daily call sheets, installation schedules, and production reports.

Site Operations & Coordination: Collabor with internal teams, clients, venue contacts, and third‑party vendors to develop a comprehensive site plan. Align the plan with safety, guest experience and operational requirements, ensuring integration of guest pathways, barriers and traffic flow strategies. Oversee installation and strike operations on site, directing vendors and team members according to the approved plan and troubleshooting technical or logistical issues in real time.

Power & Utility Management: Coordinate with internal stakeholders and vendors to determine power requirements, source and secure temporary power solutions, and ensure timely delivery and installation. Develop and manage fuel delivery and refueling schedules in collaboration with power vendors.

Lighting, Audio, and Show Control: Develop site lighting and audio plans based on environmental, creative, and functional needs. Coordinate deployment and acquisition of all lighting and audio systems. Collaborate with creative teams to integrate lighting and audio into media‑driven show control systems, gathering technical specifications and assisting in the creation and deployment of the final show control systems.

Rigging & Structural Support: Apply working knowledge of general rigging practices to support safe and efficient installation of event infrastructure. Collaborate with structural designers or engineers to evaluate rigging needs and ensure compliance with safety standards.
