Senior Activations Coordinator

Overview Reporting to the Activations Manager, the Senior Activations Coordinator plays a key role in supporting the operational and logistical success of the Live Events department. The position ensures that deadlines, communications, and event details are organized, visible, and accessible across teams. The Senior Coordinator provides high‑level administrative and production support to the Director of Activations, helping to bring branded and partner events to life with excellence.
Responsibilities
Manage day‑to‑day traffic for the Activation department, ensuring needs/requests are addressed promptly.
Anticipate needs before, during, and after events, proactively identifying potential challenges and offering practical solutions.
Maintain organized event documentation, timelines, and task lists to ensure deliverables are met and communication remains clear across departments.
Support the Director and Manager of Activations with scheduling, travel coordination, expense tracking, and vendor communications.
Collaborate with other coordinators to create seamless unity and connections within the team.
Assist with event contracts, purchase orders, and invoicing, ensuring accuracy and compliance with organizational policies.
Prepare and distribute run‑of‑show documents, contact sheets, and production schedules for live events and activations.
Serve as an administrative resource for the Activations team—keeping resources, reports, and updates visible and accessible.
Communicate with external vendors, partners, and venues to confirm logistics, deliveries, and on‑site needs.
Provide on‑site event support, managing details with calm professionalism under pressure.
Uphold the ministry’s values through excellence, hospitality, and attention to detail in every interaction.
Research, learn, and develop relationships with vendors in the promotional, branding, and vendor booth industries.
Provide support, prioritization, and organization for all communication within the department.
Streamline work and processes through the creation of useful and efficient systems.
Perform other duties as assigned.
Qualifications
Bachelor’s degree in communications, marketing, media, or related field.
Minimum 4 years of experience working in radio, broadcasting, media, and/or executive‑level support.
Strong computer skills; advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) on both Mac and PC.
Technology savvy with familiarity of various media outlets and social media.
Strong organizational and administrative skills.
Excellent interpersonal skills with the ability to develop sincere business/Ministry relationships.
Ability to work independently, establishing and meeting performance/Ministry goals.
Versatility and flexibility, adapting to change while maintaining a positive attitude and high productivity.
Discretion and attention to detail with excellent vendor communication.Professional representation of Ministry and executive staff while maintaining confidentiality.
