Job Summary The Opportunity Within the Health Information Management team at Mass General Brigham, the Copy Clerk Administrative Assistant is responsible for providing support in managing and processing various documents, records, and administrative materials.
This position plays a crucial role in assisting different departments within the hospital with document reproduction, distribution, and archiving.
Essential Functions
Operate photocopying machines and printers to reproduce documents, forms, reports, and other administrative materials as requested by hospital staff.
Scan and digitally archive documents to maintain an organized and easily accessible electronic filing system.
Organize and file documents appropriately, following hospital guidelines and procedures to ensure quick retrieval when needed.
Maintain and operate photocopying machines, printers, scanners, and other office equipment, promptly reporting any technical issues to the supervisor or Information Technology department.
Protect sensitive patient information and maintain confidentiality at all times, and other relevant data protection regulations.
Monitor and order supplies required for photocopying and related tasks, ensuring that sufficient materials are available at all times.
Handle incoming and outgoing faxes, distributing them to appropriate recipients promptly.
Qualifications
High School Diploma or Equivalent required
Can this role accept experience in lieu of a degree? No
Medical Office Administrative Experience 0-1 year preferred
Skills For Success
Knowledge of Health Insurance Portability and Accountability Act regulations and other data protection guidelines is a plus.
Strong computer skills and familiarity with office equipment, including photocopying machines, printers, and scanners.
Excellent attention to detail and accuracy to ensure error-free document duplication.
Excellent organizational and time-management skills to handle multiple tasks efficiently.
Effective communication skills, both verbal and written, to interact with various hospital personnel and visitors.
Ability to work independently and as part of a team, collaborating with others to achieve departmental goals.
