About the Role:
We are seeking a highly organized and detail-oriented Administrative & Project Coordinator to support our real estate and development operations. This role provides critical administrative, project management, and property management support to ensure our projects run smoothly from concept through completion. The ideal candidate is proactive, dependable, and comfortable managing multiple priorities in a fast-paced office environment.
Key Responsibilities:
Project Coordination
Assist with project planning, scheduling, and tracking deliverables.
Maintain project documentation, submittal logs, and progress reports.
Coordinate with consultants, engineers, contractors, and vendors to support project milestones.
Help track permits, due-diligence items, and jurisdictional submittals.
Monitor project timelines and communicate updates to management and field teams.
Property Management Support
Track leases, property taxes, insurance certificates, and compliance requirements.
Administrative Support
Prepare reports, presentations, and project binders for management.
Maintain organized digital filing systems and company documents.
Support leadership with daily administrative and operational tasks.
Billing & Financial Coordination
Process vendor invoices, track payments, and maintain billing logs.
Assist with expense reporting and reconcile project budgets.
Coordinate with accounting to ensure timely and accurate financial tracking.
Qualifications:
3+ years of experience in administration, project coordination, or property management within construction or development.
Strong organizational and multitasking skills with attention to detail.
Proficiency with Microsoft Office Suite and project management software.
Familiarity with construction processes, permitting, and real estate documents preferred.
Excellent written and verbal communication skills.
Dependable, professional, and able to maintain confidentiality.
