Fast-growing AI health tech and fintech startup is looking for their first Office Manager to own and elevate the day-to-day operations. This is an incredible opportunity to join a team with plans to scale from 17 to 45+ people in Q1 and grow in your role alongside the company! You’ll be the go-to person for everything office-related, ensuring the space runs efficiently for employees and guests. You’ll manage vendor relationships, oversee office supplies and IT operations, handle employee onboarding, guest coordination, and lead the effort to optimize the office space by working with designers and contractors on layout improvements and renovations. You will also coordinate company events and customer experiences—from investor dinners to team celebrations—often partnering with the CEO’s EA on logistics. Someone with extreme ownership who is a self-starter with strong interpersonal skills—comfortable engaging with employees, customers, investors, and vendors alike. Must thrive in a fast-moving, unpredictable environment and be willing to tackle tasks outside your scope with strong follow-through. This is an in-office role based in Union Square in NYC with flexibility to occasionally stay late for important meetings or events when needed. 120-140K+ DOE + benefits, equity, unlimited PTO, and daily meals provided.

Responsibilities:

Manage day-to-day office operations and logistics, ensuring a productive work environment.

Manage vendor relationships, coordinating services such as cleaning, maintenance, and other operational needs.

Maintain office supplies and amenities, ensuring restocked when needed.

Serve as the primary point of contact for IT support, facilities issues, and general office needs to ensure seamless day-to-day operations.

Coordinate visitor logistics, including candidate and investor visits, to provide all details for entry while keeping team members aware of visits. Prepare meeting rooms and ensure guests and external stakeholders are welcomed and have a polished experience when visiting the office.

Lead office build-out and space optimization initiatives. Partner with designers, contractors, and other vendors to enhance the office environment through space planning, renovations, and strategic improvements such as conference room upgrades, AV equipment installation, and aesthetic enhancements to create an exceptional workplace for the team.

Support employee experience and back-office operations. Streamline onboarding processes by coordinating equipment provisioning, building access, and office orientation for new hires, while proactively identifying and addressing operational gaps to ensure all employees have the resources and support they need to succeed.

Coordinate and execute company-wide events, team dinners, on-sites, customer dinners, and special activities such as holiday events or external customer engagements.

Manage employee programs such as food ordering, etc.

Maintain operational readiness by proactively identifying gaps, solving problems quickly, and ensuring that all office workflows run smoothly in a fast-paced environment.

Qualifications:

5+ years of experience as an Office Manager or similar role, ideally within fast-growing startups.

Strong vendor management skills with experience coordinating multiple service providers and operational partners.

Highly adaptable, curious, and eager to learn, with the ability to thrive in a rapidly changing, high-growth environment.

Scrappy, hands-on attitude with the willingness to wear many hats and step outside of formal responsibilities when needed.

Strong sense of ownership, accountability, and follow-through combined with a positive, low-ego approach to teamwork.

Ability to remain calm and effective amid constant change, shifting priorities, last-minute requests, and the general chaos of a startup environment.

Entrepreneurial mindset with the ability to own projects end-to-end, operate autonomously, and solve problems with minimal direction.

Excellent interpersonal and communication skills, able to work effectively with employees, customers, vendors, and stakeholders at all levels.

Comfortable being responsive after hours when issues arise and capable of handling unpredictability with composure.
