Position Summary The Fuel Supply Specialist is responsible for overseeing and optimizing national fuel supply operations, with full discretion to make supplier, pricing, and logistics decisions that directly impact company profitability, efficiency, and customer satisfaction. This role serves as the primary liaison between suppliers, dispatch, internal stakeholders, and terminals, ensuring fuel delivery operations are executed efficiently, cost-effectively, and in alignment with business objectives. The Fuel Supply Specialist exercises independent judgment in supplier selection, pricing strategy, and contract negotiations, while proactively resolving allocation and logistics challenges.
Responsibilities
Exercise discretion in selecting and approving suppliers, negotiating terms, and establishing pricing structures that align with company financial goals
Set, adjust, and approve fuel pricing across multiple Sun Coast/RelaDyne locations based on market trends, supply constraints, and strategic objectives
Authorize and onboard new carriers, ensuring compliance with company standards and operational needs
Negotiate and approve third-party carrier costs for payment, balancing service quality and profitability
Represent Sun Co ast/RelaDyne at fuel-related conferences, industry events, and networking functions to strengthen supplier relationships and identify business opportunities
Serve as the primary point of contact for suppliers, terminals, and internal stakeholders regarding allocation, pricing, and delivery issues
Oversee and resolve allocation, loading, and pricing discrepancies to maintain operational flow and meet delivery commitments
Coordinate with dispatch to address allocation and loading challenges, ensuring timely and cost-effective deliveries
Monitor and maintain real-time pricing and supply data, proactively adjusting strategies to mitigate outages and market volatility
Track and maintain accurate records of supplier contacts, terminal information, loading numbers, and product details for operational and compliance purposes
Create, maintain, and present regular reports, including monthly operational and financial summaries, to leadership
Research and process Bill of Lading (BOL) change requests and supplier invoice corrections to ensure accurate billing and cost tracking
Analyze supplier performance and recommend improvements or changes in supplier mix to increase efficiency and profitability
Provide strategic guidance and operational support to dispatch, finance, and other departments to ensure alignment with company goals
Manage multiple communication channels, prioritizing and responding to high-impact operational issues
Lead or participate in departmental projects and initiatives, and other strategic operational programs
Participate in emergency response and recovery efforts, exercising discretion to make real-time operational and financial decisions under pressure
Flexibly adjust working hours and travel as required to address urgent supply chain or market disruptions
Basic Requirements
Minimum of 5 years of progressive experience in the fuel industry or a closely related supply chain, commodity trading, or logistics operations environment, with demonstrated responsibility for strategic decision-making impacting business performance
Must be willing and able to work 100% on-site at our Houston, TX office
Must have a Valid Driver’s License with a good driving record
Proven track record of exercising independent judgment in areas such as pricing strategy, supplier selection, contract negotiation, and operational problem-solving
Strong business acumen with the ability to analyze market trends, interpret financial data and translate findings into actionable strategies
Flexibility to adjust work schedule to meet operational priorities, including support during emergencies, market disruptions, or after-hours requirements
Exceptional communication and negotiation skills, with the ability to represent Sun Coast/RelaDyne in high-level supplier, vendor, and industry discussions
Strong organizational skills with the ability to prioritize multiple, competing deadlines in a fast-paced, high-pressure environment
Proficient with Microsoft Outlook, Word, and Excel; ability to produce, edit, and present complex operational and financial reports
Demonstrated ability to lead cross-functional collaboration, influence stakeholders, and drive process improvements across departments
High level of professionalism and discretion, with the ability to make decisions that balance operational efficiency, financial impact, and compliance requirements
Must be willing to travel
Attend Fuel related, conferences, dinners, and outings
Must be willing to work outside or normal work schedule that include nights and weekends when responding to any emergency event
Preferred
Bachelor’s degree in business, Supply Chain, Logistics, or a related field or equivalent combination of education and experience, or equivalent total experience of 9 years
Proficiency in SAP and the ability to leverage ERP systems for operational decision-making, reporting, and performance tracking
