Job Overview
We are seeking an Event Coordinator to support the Director of Events and Programming in the planning and execution of internal and external events. These events include trade shows, product demos, distinguished visitor visits, customer events, and internal events.
The ideal candidate is eager to grow in a high-impact, fast-paced environment. We are seeking a candidate who is highly organized, collaborative, and comfortable working cross-functionally to help deliver professional event experiences that support Saronic’s brand and business goals.
Responsibilities Event Planning & Execution: Assit in coordinating logistics for tradeshows, customer events, product demos and offsite; as well as, smaller internal events and experiences
Vendor & Venue Management: Support the sourcing, booking, and communication with external partners, tradeshow liaisons, AV teams, and other event vendors to ensure high-quality execution
Pre-Event Preparation: Help manage timelines, checklists, packing lists, and shipping logistics. Ensure materials, branded assets, and supplies are prepped and ready for each event
Cross-Functional Collaboration: Work with Marketing, Sales, Design, and Operations teams to ensure seamless coordination of staffing, messaging, demos, and follow-ups for each event
Onsite Event Support: Provide on-the-ground support during events, including handling setup, breakdown, logistics, and last-minute problem-solving
Inventory & Materials Management: Maintain inventory of event assets and promotional items. Track usage and help identify when restocking or replacement is needed
Post-Event Wrap-Up: Assist in compiling event recaps, tracking key metrics, and gathering team feedback for future improvement
Calendar & CRM Updates: Help maintain a shared events calendar and support basic CRM tasks, including uploading attendee lists or tagging event-related leads
Qualifications Bachelor’s degree in Event Management, Marketing, Communications, or a related field
3+ years of experience in event planning or coordination, preferably in a high-tech, defense, or B2B environment
Willingness to learn, grow, and adapt in a dynamic environment
Strong organizational skills with the ability to manage multiple tasks and shifting priorities and deadlines
Basic familiarity with productivity tools (Microsoft Office, Smart sheets, Excel) and project tracking platforms (e.g., Asana, Trello)
Excellent interpersonal skills and the ability to communicate effectively across departments and with external partners
Experience with CRM tools (e.g., HubSpot, Salesforce) and event platforms (e.g., Cvent, Eventbrite) is a plus
Willingness and ability to travel regularly within the U.S. and occasionally internationally to support events
