Job Summary
The Constituent Relations Associate works under the direction of the Executive Director and is responsible for executing high‑level customer service to Medical Diplomats Council donors when they seek services at the NCH Healthcare System. The role coordinates care across departments to ensure timely, efficient, and patient‑centered service delivery while providing access to PHI for clinical communication, care planning, and continuity of care.
Essential Duties & Responsibilities
Executes timely and superior patient experience service to members of the Medical Diplomats Council.
Ensures patient satisfaction and fulfills individual donor needs.
Provides guidance and implements improved patient and care coordination processes.
Carries on‑call pager on a pre‑determined schedule to provide 24/7/365 access to healthcare assistance for donors.
Acts as a primary contact for donors, answering calls, pages, and voicemails and providing high‑level service in person or by phone.
Assists donors with emergency room visits, hospital room assignments, planned procedures, physician referrals, appointment setting, urgent care coordination, medical record transfers, and healthcare coordination with other providers.
Conducts daily patient visits throughout the hospital, rounding on donor‑patients, VIPs, or friends of NCH.
Maintains compliance with all HIPAA standards and regulations while handling patient information.
Uses donor database (Raisers’ Edge) to record interactions and support philanthropic work.
Responds to immediate assistance requests within 10 minutes by phone and within 60 minutes in person.
Provides in‑person assistance at the Emergency Department or other NCH facilities as needed.
Educates hospital staff about the Medical Diplomats Council and maintains a non‑two‑tier system.
Builds strong working relationships with NCH hospital staff and physicians.
Participates in Center for Philanthropy events specifically tailored for Medical Diplomats Council members.
Demonstrates effective allocation of time resources and exceeds customer expectations.
Collaborates with patients and care teams to accommodate special needs and ensures discharge information is understood.
Follows up with patients post‑visit and performs various administrative tasks as assigned.
Per‑diem pager coverage schedule (subject to change): Monday 5 pm–8 am, Tuesday 5 pm–8 am, Wednesday 5 pm–8 am, Thursday 5 pm–8 am, Friday 5 pm–8 am, Saturday 5 pm–8 am.
Education, Experience & Qualifications
Minimum of High School/GED required; Associate degree preferred.
Minimum 6 months of experience exercising tact and judgment in a customer service role.
Required HIPAA and confidentiality training.
Understanding of patient privacy and compliance.
Familiarity with the Association for Healthcare Philanthropy (AHP) guidelines preferred.
Superior communication and interpersonal skills.
Basic computer knowledge: operation of a PC, document creation/printing, data entry.
