Position Overview The Resident Specialist is responsible for all phases of resident service and resident retention, with particular emphasis on administering property operations, resident functions, and service requests. The role promotes the company’s Mission Statement, ensures adherence to all relevant policies and procedures, and fosters an organizational culture aligned with corporate values.

What You'll Bring

High School Diploma

2+ years of direct customer service, sales, or apartment industry experience

Knowledge of office systems and equipment

Typing speed of 40 wpm with accuracy

Proficiency in word processing

Additional Desired Qualifications:

Some college coursework

Experience with spreadsheets

Experience with Yardi

Physical Requirements

Must climb stairs and navigate ladders when accessing Resident Services or Service Offices.

Must walk the entire property, including steps and steep gangways on docks (if applicable).

Requires regular bending, kneeling, and stooping.

Must lift up to 20 pounds to handle materials and equipment safely.

Your Responsibilities Resident Services

Conduct onsite move‑in and notice‑to‑vacate follow‑up programs, compile a monthly summary.

Assist with the implementation of the 12‑month resident retention calendar of activities.

Participate in resident events and activities.

Maintain on‑site maintenance functions and positive resident interactions.

Follow up on service requests within 24 hours of completion.

Notify residents prior to shift end if a service request will not be completed; reschedule and follow up.

Administer parking procedures and policies onsite.

Manage the promotional move‑in gift program: track inventory, place orders, restock, control costs, and evaluate resident response.

Notify residents in writing of lease or policy breaches.

Assist with lease renewal program under direction of Associate or Assistant Manager.

Handle resident complaints efficiently, maintaining a professional attitude.

Maintain up‑to‑date knowledge of Fair Housing, legal issues, and local ordinances.

Articulate legal procedures for evictions, property rules, and emergency procedures.

Ensure consistent administration of all legal and company policies.

Participate in resident newsletter preparation, if applicable.

Input and update onsite service requests accurately and timely.

Participate in social media management programs, if applicable.

Record receipt of deposits or move‑in funds.

Acquaint new residents with leasing documentation, rental agreements, property rules, and emergency procedures.

Answer phone calls by the third ring using the company greeting.

Perform other duties as assigned.

Leasing

Successfully lease apartments and boat slips, qualify potential residents, verify applications, and complete move‑in paperwork.

Maintain a minimum 33% closing ratio on qualified walk‑in traffic.

Maintain a 50% phone-to-traffic ratio on qualified sales calls.

Achieve 90% or better performance on phone and property shopping reports.

Follow company policy: prospective resident follow‑up call within 24 hours, follow‑up email within 48 hours.

Create all documentation accompanying rental agreements accurately and timely.

Ensure renter’s insurance for all move‑ins and document policies in Yardi.

Record receipt of deposits or move‑in funds.

Acquaint new residents with leasing documentation, rental agreements, property rules, and emergency procedures.

Walk apartments, noting deficiencies in market‑ready product and inspecting tour routes, model, and farm units daily.

Enter accurate data daily in Yardi for prospects and new residents.

Maintain a moving‑in gift with card for all new move‑ins.

Update market survey monthly, shop the competition quarterly, and adjust strategies accordingly.

Review online ad sources monthly for accuracy.

Post Craigslist ads daily using the assigned posting tool; delete prior week’s ads weekly.

Comply with all Fair Housing regulations, local ordinances, and occupancy standards.

Maintain cleanliness and organization of leasing office, lobby, and hospitality area daily.

Answer phone calls by the third ring using the company greeting.

Perform other duties as required.
