Product Specialist
Golden State Dermatology is a physician-led and owned dermatology group rapidly expanding across California, with over 37 locations. We are a leading medical, surgical, and cosmetic dermatology group specializing in skin, hair, and nail conditions, Mohs micrographic surgery for the treatment of skin cancer, surgical and non-surgical cosmetic skincare, anti-aging, body contouring, and plastic surgery. As a Product Specialist, you'll support our front office and enhance the patient experience through education and promotion of dermatologic skincare products. This role combines exceptional customer service, product expertise, and administrative support. The Product Specialist serves as a trusted resource for patients, helping them understand and select skincare products while supporting daily front office operations. Essential Duties & Responsibilities Patient Engagement & Product Sales Greet patients and visitors promptly, courteously, and professionally Educate patients on Golden State Dermatology skincare products and make personalized product recommendations Promote skincare products in the reception area in alignment with GSD standards and marketing initiatives Process cosmetic product sales accurately; collect payments and provide receipts Maintain detailed knowledge of all skincare products, indications, and usage Scheduling & Front Office Support Answer incoming calls within three (3) rings and respond professionally to all callers Schedule new and follow-up patient appointments Review daily and weekly schedules to identify and help fill appointment openings Register patients in EClinicalWorks (or current system), ensuring accurate demographic and insurance information Document patient referral sources to support marketing efforts Financial & Administrative Responsibilities Verify patient balances upon arrival and collect co-pays or outstanding balances Maintain and balance the cash box daily; ensure secure handling of payments Receive and sign for shipments and skincare product deliveries; notify appropriate staff Assist with inventory awareness and product organization Office & Clerical Support Maintain a clean, organized, and welcoming front desk and lobby throughout the day File correspondence and reports; retrieve and return medical records as needed Screen and sign in pharmaceutical and sales representatives Perform clerical duties including photocopying, faxing, filing, typing, and equipment upkeep Assist other departments, particularly back office teams, as needed Perform other duties as assigned by supervisor Organizational & Professional Standards Demonstrates strong knowledge of job responsibilities and dermatology-related products Familiarity with benign, pre-cancerous lesions, skin cancers, and dermatologic treatments preferred Knowledge of insurance carriers including Medicare, commercial plans, and HMOs Communicates clearly and professionally in person, by phone, and via email Maintains strict HIPAA compliance and patient confidentiality Demonstrates sound judgment, attention to detail, and professionalism Works effectively as part of a team and supports organizational goals Actively promotes Golden State Dermatology's services, products, and reputation for excellence Adheres to safety, attendance, and workplace policies Willingness to work at any GSD location based on organizational needs Qualifications & Skills High School Diploma or equivalent required Strong customer service and sales aptitude Ability to educate patients and explain product benefits clearly and confidently Proficient with computers and office equipment (PC, multi-line phone systems, printers, copiers) Ability to learn and become proficient in EMA and EClinicalWorks (or current system) Excellent verbal communication and interpersonal skills Strong organizational skills with the ability to multitask and prioritize Physical Requirements Ability to sit and stand frequently throughout an 8-hour workday Frequent use of computer, keyboard, and mouse Ability to reach overhead, use a step stool, and assist with product handling Decision-Making Authority Authorized to process skincare product sales, collect cash, make change, and process credit card payments Authorized to sign for and accept packages and product deliveries Exciting Perks: 40% off products and procedures, as well as the ability to participate in free annual injectable events Comprehensive medical, dental, and vision benefits Company paid short and long-term disability as well as life insurance Safe Harbor 401K matches up to 4% Flex spending accounts and commuter benefits Employee Assistance Program (EAP) counseling for the stresses of everyday life Exclusive discounts for theme parks, attractions, hotels, concerts, and movie tickets.
