Opportunity Description

Leave of Absence and Accommodations Manager

will be responsible for managing employee leaves and accommodation requests, ensuring compliance with applicable laws and company policies. This role requires excellent communication skills, attention to detail, and the ability to handle sensitive and confidential information with empathy and professionalism.

Duties & Responsibilities

Serve as point of contact for employees and managers regarding leave inquiries, providing guidance and education on the leave application process. This includes short and long-term leave of absence (FMLA (full and intermittent), medical, maternity, baby bonding, unpaid and state and local leaves) and Workers Compensation.

Advise employees on the interaction of leave laws with paid time off, worker's compensation and short and long-term disability benefits.

Manage employee accommodations program.

Advise managers and employees on the ADA interactive process.

Coordinate with payroll, and third-party vendor to ensure accurate tracking and administration of leave and requests.

Utilize Workday and HR Acuity to maintain up-to-date and accurate records of employee leave and accommodation requests.

Analyze leave data and trends for appropriate intervention.

Create Power Point presentations to show leave metrics and trends to HR colleagues.

Maintain appropriate level of contact with employees on leave and coordinate return to work process, ensuring smooth and timely return of employees to active status.

Develop and deliver training and resources for employees and managers on leave of absence and accommodation policies and procedures.

Participate in bi-monthly meetings with third-party administrator to address outstanding LOA issues, process updates and/or concerns/questions.

Keep up to date on all state laws related to leave of absence such as state-paid family Leave (CT, CO, MA, NJ, NY, and WA) and other regulations related in other states for sick time use for leave of absence.

Leverage vendor reports to track and report FMLA and statutory leave laws usage to ensure that employees do not exceed the amount of allotted time.

Lead Benefit presentation and Q&A for New Hire Orientation.

Additional Responsibilities

Manage employee time-off requests (iFMLA); benefit tasks; new hire items; LOA requests; job offer approvals.

Updating iFMLA requests. Salary Coordination, Waiting periods, all Workday updates prior to payroll submission.

Participate in testing – Workday development, new processes, process documentation.

May need to audit daily data entries to ensure accuracy and compliance; back up data entry as needed.

Support Company culture through values and customer service standards.

Maintain outstanding customer service to all employees.

Take initiative and action to respond, resolve and follow up regarding customer service issues with all customers in a timely manner.

Respond to Workday issues, prepare Justification to Termination letters, respond to vendor issues, emergencies, etc.

Minimum Qualifications

5+ years' experience in multistate leave and accommodation administration.

Bachelor’s degree in human resources, Business Administration, or a related field.

Demonstrated knowledge of the leave of absence process, FMLA, ADA, Workers Compensation, and federal, state and local laws.

Proficient in MS Office computer programs including MS Word, Excel, and PowerPoint.

Strong interpersonal, written and verbal skills, able to communicate clearly and effectively.

Ability to effectively communicate with employees across all levels of the organization.

Excellent organizational and time management skills, with the ability to manage multiple tasks and deadlines in urgent situations.

Strong analytical, critical thinking, and problem-solving skills.

High attention to detail and customer service oriented.

Preferred Qualifications

Experience and willingness to implement process improvements.

Experience utilizing Workday, ServiceNow and HR Acuity.
