About the Role
ROCS is partnering with a well-established commercial property management firm to identify a Property Assistant to support day-to-day operations at a large office property. This role is ideal for someone who enjoys administrative work, tenant interaction, and being the organizational backbone of a busy office environment.
You’ll work closely with Property Managers and building staff to ensure smooth operations, strong tenant relationships, and accurate administrative and accounting support.
Key Responsibilities Tenant & Customer Support
Serve as a first point of contact for tenant requests via phone and email
Coordinate and track tenant service requests and follow up to ensure satisfaction
Assist with tenant events, emergency communications, and access requests
Activate/deactivate building access cards and maintain emergency contact lists
Administrative & Office Support
Provide administrative support to Property Managers and onsite personnel
Prepare correspondence, spreadsheets, purchase orders, and reports
Maintain lease files, vendor records, and property documentation
Order office supplies, coordinate office events, and support office operations
Accounting & Invoice Support
Monitor, code, and process invoices accurately and on time
Research invoice discrepancies and follow up with vendors as needed
Vendor & Contract Coordination
Assist with tracking service contracts, insurance certificates, and expirations
Maintain approved vendor and contractor lists
Support insurance claims and documentation as needed
Property Operations
Coordinate tenant move‑ins and move‑outs, including after‑hours logistics
Request Certificates of Insurance from movers and vendors
Prepare tenant welcome materials and assist with signage coordination
Qualifications
High School Diploma or equivalent required
Minimum of 2 years of administrative or office support experience
Strong proficiency in Microsoft Office (Word, Excel, Outlook)
Comfortable learning and using new software systems
Excellent organizational, communication, and customer service skills
Ability to type approximately 55 WPM accurately
Detail‑oriented, professional, and able to manage multiple priorities
Onsite, Full-Time, Monday–Friday; $52,000–$55,000 annually
