Executive Assistant to Managing Director
Base pay range: $35.00/hr - $45.00/hr
Executive Recruiter – Northbound Executive Search A leading NY based Financial Services firm is seeking an Executive Assistant. This is an excellent opportunity to expand your EA experience in a prestigious setting.
Responsibilities
Manage the Executive's calendar, scheduling and coordinating meetings, while considering the time zones of a global organization. Adapt quickly to last‑minute changes and reprioritization.
Plan and book travel arrangements, optimizing itineraries. Collaborate with the Chief of Staff to put together comprehensive packets for business trips anticipating and addressing potential challenges in advance.
From time to time, represent the Executive in meetings, taking notes and summarizing key points when required.
Act as a gatekeeper for the Executive's schedule, controlling access and ensuring that the Executive's time is optimized.
Craft and distribute agendas and other documents for meeting participants and executive team leaders when necessary.
Exercise sound judgment and tone when managing requests and inquiries internally and externally.
Be quickly responsive and available during nights and weekends as needed to address urgent matters and ensure the Executive's schedule runs smoothly.
Qualifications
Communication skills, written/verbal
Ability to prioritize and meet deadlines and keep information confidential
