Sales Coordinator Independent Agent – Temporary MCS Puerto Rico

General Description Coordinates and collaborates with the sales team through the processing of sales documents, reporting, data entry, inventory management, and other additional tasks related to the smooth running of the office and membership sales department.

Essential Functions

Assists with issues related to documentation, information, reports, and/or requests from the agent channel, provides support to Independent Agents with the information they need during regular sales activities and/or when they are at sales points or visiting prospects.

Records and processes sales received within the established time frame in the system. Notifies the agent and/or agency of incomplete or pending membership applications to be processed correctly within the established time frame.

Attends, channels, and provides independent agents with the necessary information to validate eligibility in the different platforms or systems, as well as with any other request for information related to their sales or retention function. Validates compliance with established requirements, refers to, and clarifies any discrepancies or missing information.

Ensures that all sales, whether paper or electronic, are properly indexed with the scope of Appointment, including all required information, as well as the event ID or walk‑in.

Receives SOAs, membership applications, and PEQATs, among other documents from independent agents and agencies to complete and maintain a record of applications received and processed daily. Notifies and follows up with the Enrollment department on pending documents to be processed or corrected sales to change the status of the request to process.

Digitizes and uploads the Scope of Appointment Confirmation Forms received and paper membership applications received in OnBase.

Validates the sales report sent by the Membership Department and channels any discrepancies identified to the Finance department. Processes payment claims from agents. Shares the sales tally from the previous day within the established time frame.

Kepp(s) organized and files the documents received from sales, per the approved process, and sends them to the Enrollment Department for storage.

Assist with submitting requisitions for promotional materials, sales materials, agent uniforms, as well as any other materials supplied to independent agents to keep inventory stocked.

Prepares sales kits which include all documents that the independent agent needs to use and deliver to the affiliate during the sales process.

Provides guidance and support to agents and/or agencies calling regularly regarding questions with documents or referrals. Assists with service requests tied to the sales process.

According to operational needs, attends to independent agents at the window located in the independent agent area at MCS Plaza, for the receipt of sales documents, dispatch of sales and promotional materials, as well as attending to and channeling any sales and service management by the agent and/or agency.

Must comply fully and consistently with all company policies and procedures, with local and federal laws as well as with the regulations applicable to our Industry, to maintain appropriate business and employment practices.

May carry out other duties and responsibilities as assigned, according to the requirements of education and experience contained in this document.

Minimum Qualifications Education and experience:

Associates Degree or 60‑64 completed university credits. At least one (1) year of experience in coordination, office, and/or sales functions, preferably in the health insurance industry.
