Job Description Busy commercial real estate company seeking an Assistant Property Manager to facilitate the efficient operation of the organization. This position is a permanent full‑time role of 8‑5, Monday through Friday. The ideal candidate has a friendly, detail‑oriented character, a strong work ethic, excellent communication skills, and previous office experience. Computer skills in Microsoft Word, Excel and PowerPoint are a must. The candidate should be a self‑starter, knowledge seeker, and comfortable working with minimal supervision.

Most qualified candidates will have experience assisting within a customer service environment and a solid understanding of office productivity applications such as Microsoft Office suite and Windows operating systems. They must be reliable, flexible, friendly, fast‑learning, demonstrate initiative and responsibility, and possess independent judgment to plan, prioritize and organize a diversified workload within a fast‑paced environment.

Responsibilities

Assist the Property Manager with administrative, operational and management tasks as assigned.

Maintain work orders as necessary.

Coordinate and manage daily processes and systems, including assisting with walk‑ins, gate phone and telephones.

Responsible for data entry, record keeping, coordination and communication on a variety of administrative duties.

Create and maintain various Excel spreadsheets, PowerPoint presentations, Word documents and calendars.

Coordinate outside vendors and work on special projects.

Perform general clerical duties, including photocopying, scanning, mail distribution and filing.

Maintain electronic and hard‑copy filing system.

Prepare meeting materials and assist with the development of PowerPoint presentations as needed.

Answer routine and non‑routine correspondence.

Provide excellent internal and external customer service with excellent interpersonal skills.

Communicate in a professional, prompt and positive manner to achieve the company’s goals.

Deal with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization.

Handle sensitive information in a confidential manner.

Assist in resolving any administrative problems.

Help foster a positive work environment through teamwork, respect and courtesy.

Requirements

Three (3) years or more experience as a proven Administrative Assistant.

Knowledge of office management systems and procedures.

Excellent time‑management skills and ability to multi‑task.

Attention to detail and problem‑solving ability.

Excellent written and verbal communication skills.

Proficiency in MS Office Software, specifically Microsoft Excel, Word, PowerPoint, Publisher and Adobe Photoshop.

Ability to work in a fast‑paced environment.
