Job Purpose and Responsibilities Tapani is seeking an experienced Proposal Coordinator to lead pursuit strategy and proposal development across multiple markets. This role calls for a confident communicator and innovative thinker who thrives on collaboration and can take full ownership of the proposal process from planning to delivery.

You will work closely with teams across the company—including preconstruction, estimating, project management, and leadership—as well as with external AEC pursuit teams and joint venture firms. In this role, you’ll help expand on Tapani’s proven pursuit success and drive continued growth across our Civil Site Development, Buildings, Transportation, Utility Infrastructure, and Environmental markets. Your leadership will bring Tapani’s core values to every pursuit and reinforce our position as a trusted, high-performing contractor.

In this role, you will also mentor and guide new proposal coordinators and assistants, fostering a culture of consistency, creativity, and excellence across all pursuit efforts. Based at Tapani’s Battle Ground, Washington headquarters, this position offers the opportunity to make a lasting impact by advancing pursuit strategy and elevating Tapani’s presence in the market.

Key Responsibilities

Lead the full proposal process from kickoff through final submittal and interview preparation.

Partner with preconstruction, estimating, project management, and leadership teams to define strategy, messaging, and differentiators.

Develop pursuit tools such as schedules, compliance checklists, and tracking dashboards to keep the team aligned and accountable.

Manage internal contributors and external pursuit firms to ensure clarity, consistency, and on-time delivery.

Mentor and support proposal coordinators and assistants to strengthen team capability and quality.

Content Development

Write, edit, and design persuasive, client-focused proposals and presentations that reflect Tapani’s brand and values.

Translate technical input into clear, strategic narratives that communicate value, capability, and project understanding.

Tailor past performance, resumes, and project examples to align with client priorities.

Maintain and continuously improve Tapani’s content library and templates.

Quality and Strategy

Ensure all materials are compliant, visually consistent, and aligned with client needs.

Research clients, projects, and competitors to inform positioning and win themes.

Lead or participate in post-pursuit debriefs and refine processes for efficiency and quality.

Support broader marketing initiatives such as qualifications packages, presentations, and pre-positioning efforts.

Proposal Development and Continuous Improvement

Maintain and enhance Tapani’s proposal content library, templates, and visual standards to ensure consistency and accuracy.

Streamline pursuit processes and develop tools that improve workflow efficiency and collaboration.

Manage and update project data, personnel resumes, and firm qualifications to reflect current work and capabilities.

Ensure Tapani’s tone of voice and messaging remain consistent across all proposal and marketing materials.

Maintain a lessons learned database to capture insights from completed pursuits and improve future efforts.

Research, implement, and maintain platforms and technologies that enhance proposal development, content management, and production efficiency.

Attend occasional professional and industry events to build knowledge, stay current on market trends, and track developments in alternative delivery and pursuit best practices.

Desired Skills and Qualifications

Minimum of 5 years of experience leading proposals within the AEC industry (construction experience preferred).

Exceptional writing, editing, and storytelling skills with the ability to communicate technical ideas clearly and persuasively.

Strong understanding of proposal strategy, layout, and approach standards for design-build and CM/GC pursuits.

Advanced proficiency in Adobe InDesign, Adobe Illustrator and other creative software.

Skilled in using and maintaining project and pursuit management platforms, including data and asset management systems, client relationship management (CRM) tools, and lessons learned libraries.

Bonus: Graphic design experience and a genuine passion for visual storytelling.

Highly organized, deadline-driven, and capable of managing multiple concurrent pursuits.

Demonstrated leadership, collaboration, and mentorship abilities across departments and teams.

Self-motivated, innovative, and committed to continuous improvement.

Primary work location at Tapani’s Battle Ground, WA headquarters.

Regular collaboration with internal teams and external partners.

Frequent use of communication tools and creative software.

Occasional travel for interviews or pursuit meetings.

Standard working hours with flexibility during critical deadlines.

Compensation and Benefits

Pay: $35.00 - $50.00 per hour (based on qualifications and experience)
