Executive & Personal Assistant to the CEO — Ultra-Exclusive Family Office (Irvine, CA)
We are seeking a highly organized, proactive, and detail-oriented
Executive & Personal Assistant
to support the CEO of a dynamic family office. This role requires a seasoned professional who can seamlessly manage both executive and personal responsibilities, ensuring the CEO’s business and personal affairs run smoothly. The CEO oversees an investment office with approximately 20 employees while also being a dedicated parent to four teenage children. The ideal candidate will be adaptable, resourceful, assertive, fast‑paced, and possess a high degree of discretion.
Key Responsibilities Executive Support
Act as the primary point of contact between the CEO and internal/external points of contact
Manage an active and complex calendar, including scheduling meetings, travel, and personal and business appointments
Coordinate executive team meetings and prepare agendas
Oversee email management, prioritizing and responding as necessary on behalf of the CEO
Conduct light research and compile reports, summaries, and presentations as needed
Assist in office operations, document management, and financial tracking relating to the CEO
Liaise with office staff, vendors, legal counsel, and financial advisors
Personal Support
Manage personal appointments, household schedules, and family-related logistics
Coordinate travel arrangements for the CEO and family (domestic & international) and manage schedule for private jet travel
Handle personal errands, event planning, and household vendor management
Oversee children’s school and extracurricular schedules, liaising with caregivers as needed
Ensure seamless coordination between business and personal commitments
Qualifications & Requirements
Education: Bachelor’s degree preferred but not required
Exceptional organizational and multitasking abilities
Strong verbal and written communication skills
Proficiency in Microsoft Office Suite, Google Workspace, and productivity tools
Ability to maintain confidentiality and handle sensitive information with discretion
Problem‑solving mindset with a proactive approach
High level of professionalism, adaptability, and emotional intelligence
