Deputy Clerk
City of Hot Springs, Arkansas Prepared: June 2024 Assists the Chief Clerk, Court Administrator, and Senior Deputy Clerk in court operations and services, with an extensive variety of case related tasks, such as maintaining the judges docket calendar, serving as the liaison with other court staff, state agencies, and the public, ensuring the efficient operation of the judges docket and office; and performs executive, secretarial, and administrative duties. As a representative of the Judiciary, the Deputy Clerk must maintain a high degree of integrity, decorum, and respect for the court personnel and the public. This position serves two judges of the 41st State District Court Judicial District based in City of Hot Springs, Garland County. Schedules motions, hearings, and trials via in person, justice bridge, zoom, and via video with local detention center. Coordinates and prioritizes the courts schedule with attorneys, parties, and agencies to ensure attendance at hearings. Transcribes the judges docket notes into court case management system. Creates and issues warrants as ordered during court settings. Coordinates and prioritizes inmate hearings with detention center staff, prosecutor, public defender, attorneys, and bailiffs. Prepares and distributes orders as filed within the court. Reviews files for accuracy; maintains dockets, continuances, and orders; and determines need for action by the judges. Performs receptionist duties by greeting callers on the telephone and responding to inquiries to provide direction. Provides quality customer service to the patrons of the court by offering courteous assistance. Researches and analyzes relevant facts to ensure policy and state law is being followed, and proper decisions are being made. Sorts, screens, files, marks, and distributes mail, interagency mail, and all other correspondence. Enters accurate data for reporting to various state agencies. Accurately receipts and processes payments of fines, costs, restitution and fees. This includes payments in person, payments received through the mail and waiver of payments submitted by the prosecuting attorneys office. Monitors security of cash drawers; balances and verifies daily funds collected. Reviews and prepares correspondence, memoranda, orders, reports, emails, and other documents observing strict confidentiality. Monitors guidelines for final disposition of cases and assists in monitoring and meeting time frames. Monitors compliance of sentencing conditions. Prioritizes and schedules court interpreters to ensure attendance at hearings and trials. Serves as liaison between Judges and citizen, interpreters, federal, state, and local governmental agencies. Prepares daily court dockets and ensures their readiness for court action. Provides case management by reviewing all documents and proposed orders for Judges review and signature. Performs routine clerical tasks such as processing maintaining files/records, faxing, and photocopying. Performs detailed data entry in the court case management system. Reviews and processes documents in the courts electronic filing system. Performs primary review of all documents coming through the court which includes content, formatting, accuracy, timeliness, compliance with the local rules. Routes documents accordingly. Follows up with the parties when there is a problem. Interacts with the Bar and unpresented parties regarding specific cases and instructions being passed by the Judge. Drafts and/or edits legal documents; proofreads and verifies accuracy. Creates and updates templates and standard documents for orders, motions, and other related documents. Completes special projects as assigned. Maintains a high degree of integrity, decorum, and respect for the court personnel and the public. Assists civil and small claims clerk with daily duties and functions.
