Property Management Administrative Assistant
Alliant Property Management, LLC is seeking a Property Management Administrative Assistant to become part of our Amazing Team!
General Purpose The Senior Administrative Assistant is an administrative professional who assists one or more management members. The position requires a person who will conduct themselves in a professional manner while cooperatively assisting the Community Association Managers (CAMs) with the daily operation of the client associations by handling correspondence, questions, concerns, telephone, and general office duties with speed and professionalism.
Responsibilities
Proactive communication with customers, vendors, and clients via telephone
Assist association managers with the organization of day‑to‑day projects
Organize, write and send written correspondence and violation letters and general correspondence as directed by the manager
Perform data entry and use software programs
May require research skills to troubleshoot customer question, problem or task given by the manager
Prepare reports and spreadsheets as directed by the manager
Keep track of meeting notes and type minutes when requested by manager
Assist with client mailings as instructed by the manager
Attend meetings when required by manager
General office duties which include but are not limited to: fielding telephone calls, drafting letters and emails, scanning documents, copying documents, faxing documents, gate system information, filing, and any other office duties required for the job
Attend Community Association Management (CAM) classes and take test to acquire license (CAM) within nine months with the potential of being promoted to the next level (Assistant Community Manager) and eventually CAM
Qualifications
Strong written and verbal communication skills, organizational and customer service skills are essential
Must have experience in general office administration
High school diploma and/or equivalent to diploma
Must be a self‑starter who is able to multitask effectively
Excellent interpersonal communication and problem‑solving skills; must be able to confidently deal with a wide diversity of people
Commitment to great customer service, continuous improvement, honesty and integrity
Proficient in Word and Excel, and the ability to adapt and learn new computer programs
Ability to develop and sustain positive and co‑operative working relationships with a broad variety of managers, co‑workers, clients, owners and vendors
Drug Free Employer
Must have CAM license within above timeframe
