This position involves managing vehicle reconditioning requests, ensuring precise data entry, coordinating with shop areas, and maintaining strong customer relationships. The role requires strong organizational skills and the ability to work with AS400/VCF systems.

Job Responsibilities

Perform clerical and administrative duties related to vehicle reconditioning fulfillment.

Receive inbound vehicle and registration information from customers requesting reconditioning services.

Perform data entry and verify customer vehicle information is accurately recorded, ensuring proper tagging with work orders.

Evaluate reconditioning needs and provide timely, accurate quotes.

Conduct walk‑throughs of units to assess cosmetic reconditioning requirements.

Estimate cost for cosmetic repairs and discuss with customers to gain approval, recording outcomes in appropriate tools.

Coordinate with reconditioning shop areas for vehicle repairs and post charges to the appropriate account promptly.

Create and maintain charges associated with reconditioning fees.

Perform recall checks on all units and note the results.

Collaborate with P&P and Accounting staff to ensure timely payment for billings or accounts receivable, contacting customers for reconciliation when required.

Build deep service relationships with customers.

Manage customer expectations of reconditioning fulfillment through proactive communications.

Respond to customer inquiries, provide quality service, and assist in problem resolution.

Be knowledgeable of account agreements, vehicle files, title verification, and related records.

Enter pertinent information into AS400 and other tools for approved customer work.

Utilize AS400/VCF systems to monitor and track vehicle repairs.

Communicate and schedule repairs/enhancements with Recon Shop management.

Monitor vehicles through the reconditioning fulfillment process to ensure timeline commitments are met.

Review completed work to ensure customer quality standards are achieved and/or exceeded.

Soft‑sell additional services to dealers upon delivery of existing work.

Follow up with customers to confirm completion and satisfaction.

Work with finance/local management to ensure customers are charged and A/R is collected timely.

Demonstrate safety commitment by following all safety and health procedures and modeling the behaviors related to such.

Perform additional duties as assigned by management.

Minimum Qualifications

High School Diploma or equivalent.

1–3 years of auction and/or vehicle registration experience preferred.

Ability to drive vehicles with standard and automatic transmission.

Basic computer skills required.

Requires standing, walking, reaching, talking, hearing, stooping, kneeling, crouching, bending, squatting, climbing. Must be able to lift 1–15 pounds.

Vision: close, distance and color vision, depth perception, ability to adjust focus.

Work Schedule 8:00 am – 5:00 pm

Work Environment Frequent exposure to outdoor weather conditions. Moderate noise level.

Compensation Hourly base pay rate is $19.57 – $29.38 per hour. The rate may vary based on location and candidate qualifications. Position may be eligible for commission and/or incentive programs.
