Position Overview The CUNY School of Medicine (CUNY MED) is the only medical school in the City University of New York system.
CUNY MED offers an innovative curriculum that allows students to earn both a Bachelor of Science (BS) and a Doctor of Medicine (MD) in seven years, and it also offers a two‑year Physician Assistant (PA) program.
The department of Community Health and Social Medicine (CHASM) focuses on the social, economic, political, and behavioral determinants of health, with research in chronic disease epidemiology, health behavior, health policy, and community‑based research.
The Administrative Specialist reports to the Chair of CHASM and performs a wide range of administrative duties in support of the department’s mission.
Responsibilities
Invoice processing and fiscal record‑keeping; preparation and submission of expense reports; liaison with Office of Administration, Accounts Payable, and vendors to ensure accurate fiscal procedures.
Resource support for the Chair, Course Directors, and faculty, including collection, revision, and confirmation of faculty documents for promotions and tenure.
Administrative support for the education program: scheduling meetings, arranging travel, editing and distributing surveys, collecting and analyzing data, and assisting with accreditation activities.
Assistance to the CHASM Chair with curriculum development, educational scholarship, and other professional responsibilities, including initiation of ERFs.
Preparation of presentation materials for internal audiences and regional or national conferences.
Support for teaching, research, and community outreach initiatives.
Collaboration with the Department Chair to compile and complete faculty dossiers for appointments, renewals, promotions, tenure reviews, and other personnel actions.
Performing other duties as assigned by the Chair or designee.
Qualifications
Bachelor's Degree and four years of relevant experience.
Preferred Qualifications
Proven leadership abilities with a collaborative approach to advancing departmental and institutional objectives.
Strong initiative, adaptability, and capacity to work independently with minimal supervision.
High level of attention to detail and adherence to deadlines.
Professionalism and the ability to exercise discretion and diplomacy in all interactions.
Exceptional operational, interpersonal, and communication skills, both oral and written; experience managing databases.
Proficiency in the use of CUNYFirst and Blackboard systems.
Advanced proficiency in Microsoft Outlook, Excel, Word, and PowerPoint.
CUNY Title Overview Provides administrative and program support to an administrative or academic department.
Oversees department operations and assists management in planning department activities, creating schedules, assigning staff, and delivering communications.
Works with appropriate offices on personnel recruitment and search activities.
Coordinates research materials for key events such as promotion and tenure reviews.
Supervises and trains support staff and student workers.
Manages budget and coordinates purchasing, accounting, and payroll.
Provides instruction and basic advice to students, faculty, and others on department activities, policies, and schedules.
Performs related duties as assigned.
Compensation and Benefits Salary Range: $70,815 – $86,741 (commensurate with education and experience).
