We are seeking a highly organized and dependable
Home Care Scheduler
to join our dynamic home care team. In this vital role, you will coordinate and manage caregiver and client schedules, ensuring seamless communication between the office, caregivers, clients, and their families. Your ability to stay calm, think quickly, and problem‑solve in a fast‑paced environment will directly impact the quality of care we deliver.
The ideal candidate has prior scheduling experience in a home care agency (strongly preferred), strong computer skills, excellent communication abilities, and a proactive, solution‑focused mindset. Experience with
WellSky/ClearCare
is highly preferred.
Key Responsibilities
Create, maintain, and adjust caregiver schedules based on client care plans
Respond promptly to call‑offs, emergencies, and last‑minute scheduling changes
Communicate professionally with caregivers, clients, and families using a multi‑line phone system
Match caregivers to clients based on skills, availability, location, and compatibility
Accurately document all scheduling changes in WellSky/ClearCare
Monitor overtime, hours worked, and compliance with labor regulations
Coordinate with office staff regarding new clients, care plan updates, and staffing needs
Participate in on‑call rotation as required
Required Qualifications
Previous scheduling experience in a home care agency (required)
Strong computer skills (scheduling software, email, spreadsheets, databases)
Excellent organizational and time‑management skills
Ability to multitask and prioritize in a high‑pressure environment
Knowledge of HIPAA regulations and client confidentiality standards
Clear verbal and written communication skills
Professional phone etiquette and strong customer service mindset
High level of reliability, discretion, and accountability
Preferred Qualifications
Experience using home care scheduling software (WellSky/ClearCare or similar)
Understanding of caregiver availability, overtime rules, and shift coverage
Experience working with caregivers, seniors, or healthcare clients
Work Schedule & Flexibility
Must be flexible with scheduling , including occasional early mornings, evenings, weekends, and on‑call shifts
Scheduling emergencies may occur outside of standard business hours
