Position Summary The
Benefits Specialist
supports the Benefits Manager in the administration of employee benefit programs at The Springs Living. This role assists with health insurance, voluntary benefits, and the retirement plan, while ensuring compliance, educating employees, and resolving benefit‑related questions and issues with compassion.
Key Responsibilities
Responds to benefits-related inquiries via phone and email
Completes National Medical Support Notice (NMSN) employer response forms and notifies the Benefits Manager when employee and dependent enrollment is required
Runs monthly new-employee eligibility reports and sends lists to community leadership for review
Prepares and sends monthly benefit eligibility letters to newly eligible employees
Manages returned mail, sorts by community, and coordinates redistribution to ensure address updates
Processes 401(k) enrollments and election changes in UKG prior to each pay period
Assists with monthly new hire enrollments, annual open enrollment, and qualifying life event changes
Sends enrollment and termination census data to Regence in proper formatting
Sends portability notification letters to employees whose voluntary benefits are ending
Assists with bi‑monthly audits of carrier enrollment and billing records to ensure accuracy
Calculates final paycheck benefit deductions in coordination with PayrollAssists in tracking leave of absence dates and benefit arrears owed
Responds to carrier requests for claim information related to life, AD&D, critical illness, accident, and short-term disability
Coordinates Business Office Manager training schedules with the People team
Assists with name and Social Security number updates and audits, including notifying carriers
Supports benefit and wellness events such as vendor fairs and mobile wellness clinics at communities
Performs other duties as assigned by the Benefits Manager
Qualifications
Minimum of 2 years of Human Resources experience preferred
Associate or bachelor’s degree preferred
Proficient in Excel
Strong attention to detail
Knowledge of employee benefits and related laws
Ability to handle confidential information with discretion, compassion and professionalism
Strong verbal and written communication skills, including report writing and business correspondence
Ability to present information and respond to questions from managers, employees, and the general public
Strong organizational skills with the ability to prioritize and manage multiple tasks
Proficient PC skills, including email, databases, recordkeeping, word processing, and spreadsheets
Ability to interpret written, oral, electronic, and scheduled instructions
