One Federal Solution has an opening for an Administrative Specialist I supporting a federal government client. The Administrative Specialist I will work closely with management and staff to provide administrative, program, and office operations support. This is an on-site role and the individual will be a key contributor to the day-to-day effectiveness of the office.
Administrative Specialist I Duties
Performs administrative management functions in support of office, project, and program operations
Reviews, interprets, and applies administrative policies and procedures
Develops, maintains, and supports administrative systems and processes
Composes correspondence for signature, routes documents for action, and follows up to ensure timely completion
Greets visitors and answers, directs, and follows up on incoming calls as appropriate
Reviews outgoing correspondence for compliance with established policies and organizational procedures
Assembles and compiles information for reports, responses to inquiries, and routine correspondence
Ensures documents are accurate, properly formatted, complete, and submitted in a timely manner
Oversees preparation of meeting minutes, presentations, reports, and the filing of project documentation
Utilizes Microsoft Word, Excel, PowerPoint, and Access to prepare charts, spreadsheets, presentations, and reports
Collects, tracks, and analyzes administrative and program-related data
Coordinates with internal staff and management to support workflow, work distribution, and administrative operations
Assists with procurement activities including preparation of purchase requests, review of purchase orders, and tracking of supplies and non-expendable property
Supports property management activities including inventory tracking and reporting
Provides administrative and program support to ensure compliance with financial and procurement procedures
Provides accurate and timely status updates
Performs other duties as assigned
Administrative Specialist I Requirements
High school diploma or GED required
Active Secret Clearance
Two (2) years or more of relevant administrative or office support experience
Excellent written and verbal communication skills
Strong attention to detail and organizational skills
Ability to analyze information and apply administrative policies and procedures
Intermediate proficiency with Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook
Ability to manage multiple tasks and priorities in a fast-paced environment
Experience with program management or financial management is desirable
Experience using automated or program management systems is desirable
