Job Summary
The Contracts Administrator represents the company in the procurement, negotiation, and administration of non-complex contracts for goods and services. This role ensures contractual obligations are met, risks are mitigated, and strong customer relationships are maintained. Responsibilities include contract interpretation, proposal support, monitoring cost and schedule performance, and supporting new business development efforts.
Key Responsibilities Contract Administration & Compliance
Manage and administer assigned contracts in compliance with contractual requirements and company policies
Negotiate balanced and fair Terms & Conditions while mitigating business risk
Ensure accurate monitoring of contract cost, schedule, quality, delivery, and payment status
Prepare Estimates to Complete (ETC) and take corrective actions when issues are identified
Serve as the primary point of contact for assigned contracts and secondary contact for others
Maintain complete, accurate, and well-organized contract files documenting all actions, correspondence, and issues
Contract Review & Risk Assessment
Review customer solicitations and assess risk related to Terms & Conditions, Scope of Work, and contractual provisions
Provide interpretation and recommendations to the Director of Contracts & Pricing, Senior CA-Lead, or designated leadership
Identify and document actions needed to ensure customer compliance with contractual obligations
Ensure proper flow-down of contractual clauses and provisions to purchasing and vendor agreements
Proposal & Negotiation Support
Participate in the development, review, and submission of customer proposals
Support negotiation of new contracts, contract modifications, and renegotiations
Assist Program Managers in managing contractual obligations and deliverables
Cross-Functional Coordination
Disseminate contract information and coordinate activities across functional teams to meet contract requirements
Resolve conflicting schedules and competing resource demands
Interface with Accounting to resolve payment issues on assigned contracts
Ensure timely and proper closeout of completed contracts
Trade Compliance & Systems
Coordinate with the Trade Compliance Officer to process import/export license applications and administer issued licenses
Ensure timely, accurate, and complete data entry within CostPoint
With oversight, perform Program Manager functions on assigned contracts
Non-Essential Duties
Assist in the development and improvement of contract management systems and procedures
Participate in cross-functional action teams to resolve internal issues or develop new processes, tools, or methodologies
Required Qualifications Education
Bachelor's degree (B.A. or B.S.) from an accredited four-year college or university
Experience & Knowledge
Experience reviewing contract Terms & Conditions
Working knowledge of government contracts
Understanding of FAR and DFARS clauses
Preferred Qualifications
Pricing experience
Experience with contract portals and document extraction from customer portals
Experience working with ERP systems (CostPoint preferred)
