The Senior Real Estate Legal Assistant supports and relieves lawyers and other legal personnel of certain legal administrative and clerical work in the area(s) of real estate, construction and other operational departments.

Essential Duties and Responsibilities

Assists with drafting legal papers and correspondence such as leases, contracts, and amendments, from draft or dictation.

Composes, prepares, copies, transcribes and distributes confidential correspondence, memorandums, letters, reports, spreadsheets and other documents as requested.

Updates appropriate parties with new contracts, leases, amendments or other documents related to transactions.

Files correspondence and legal documents in office filing systems.

Organizes work schedules, manages calendars and schedules appointments.

Updates and organizes binders and various charts of real estate transactions (acquisitions and leases) pending and in escrow.

Answers and screens incoming calls and arranges conference calls.

Opens and routes incoming mail and correspondence and prepares outgoing mail.

Orders supplies.

Makes travel arrangements.

Represents Company values professionally in the community and at public gatherings and assists management with other requests.

Other duties may be assigned.

Qualifications

This position requires a minimum of five years of administrative experience, preferably legal although not required. Excellent telephone etiquette, data entry, typing, copying, faxing, filing and scheduling skills, are required.

Intermediate level computer experience, including skills in Microsoft Word and Excel, is required.

This position also requires excellent communication, organizational, detail-oriented and problem-solving skills.

The ability to work efficiently under pressure, accurately meet deadlines, present a professional demeanor is essential.

Customer service skills including the ability to manage, adapt and respond to different customer situations while maintaining a positive and friendly attitude is essential.

Maintaining confidentiality, treating others with respect and upholding Company values is key.

Educational Requirements This position requires a high school diploma or GED. Additional college level or business related classes are beneficial.

Work Days Normal work days are Monday through Friday. Occasional Saturdays and Sundays may be necessary.

Work Hours Normal work hours are 8:00 a.m. to 5:0 p.m. Occasional overtime (more than forty hours per week) may be necessary.
