Proposal Specialist (Entry-Level/Remote-USA)
Are you detail-oriented, curious, and ready to begin a meaningful career? This entry-level role is for someone eager to learn and contribute to a collaborative team that supports proposals for clinical research and pharmaceutical services. This position is well suited for a recent graduate or someone with related experience seeking practical exposure to the proposal process, project coordination, and the clinical research industry. Training and mentorship are provided to build skills. What You’ll Do
You’ll support the Global Proposal Management team by organizing information, maintaining internal systems, and ensuring smooth behind-the-scenes operations. You’ll learn how we review and respond to RFPs and RFIs from clients. Assist team members with questions about proposal processes and tools Review new RFPs and route them to the appropriate proposal team with guidance from managers or seniors Send internal notifications about new assignments Create digital project folders (SharePoint) and upload documents Enter and update information in our CRM system (Salesforce) and internal workload reports Support the RFI team by compiling and formatting experience reports Upload team reports to SharePoint and help track daily activity summaries Contribute to database maintenance and data cleanup projects Run basic data queries and reports as requested As you grow, you’ll gain insight into service scoping and budgeting, interact with departments, and communicate with clients through well-developed proposals. We’re seeking someone who is eager to learn and work well in a collaborative, detail-focused team. Requirements include: A bachelor’s degree
(ideally in business, life sciences, or a related field) — this is a requirement Familiarity with Microsoft Office tools, especially Word and Excel High attention to detail and accuracy Strong written and verbal communication skills Curiosity about how the business works and willingness to ask questions Positive, team-oriented approach and ability to work cooperatively Open, honest, and follow-through in day-to-day interactions Interest in proposal development and understanding how we scope and communicate services Ability to manage several small tasks or projects at once and stay organized Some prior exposure to the clinical research or pharmaceutical industry is helpful but not required.
