Job Summary The Intake Specialist creates new patient profiles in the operating system, enters demographic, physician and insurance information, attaches faxed documents, and ensures all records are complete and compliant with state, federal, and ACHC standards.
Duties / Responsibilities
Gather complete patient information and enter it into the patient electronic medical record (EMR).
Verify insurance eligibility, benefits and patient financial responsibility.
Manage patient documents promptly and accurately in the EMR.
Obtain necessary information and enter data to ensure compliance with regulatory agencies.
Cancel pending/no‑Go referrals when appropriate.
Document patient‑related activities in the EMR.
Consult with team members on difficult or unusual referrals.
Comply with company policies, confidentiality, HIPAA and ACHC standards.
Maintain and update patient spreadsheets.
Exhibit flexibility to adjust work assignments and meet service needs.
Adhere to safety, attendance, and dress‑code policies.
Work overtime, holidays, and weekends as required.
Perform duties in accordance with the Company’s Code of Business Conduct and Ethics.
Other duties as assigned.
Qualifications / Competencies
Accurate and efficient handling of prescription medications.
Flexible hours, including evenings, weekends, and holidays.
Excellent interpersonal and communication skills (English).
Independent and team‑oriented work style with strong organizational and time‑management skills.
Strong judgment and maturity.
Education / Experience
Proficient in Microsoft Word, Excel, and Outlook.
Basic computer and math skills.
Excellent attention to detail and reliability.
Ability to adapt to a fast‑paced, ever‑changing environment.
Capable of working various shifts and days.
Physical Demands
May sit or stand 7–10 hours per day.
Occasional movement incl. walking, bending, stooping.
May lift or move up to 30 pounds.
Work extended hours as needed.
Holiday & PTO Policy
Annual paid holidays (6 days) and 5 sick days.
Up to 10 PTO days annually with rollover options.
Cashing out up to 10 PTO hours per quarter.
